Personal Assistant to the Director of Public Health
Purpose of the post: The postholder will support the Executive Support Team to develop and deliver the Council’s vision, priorities and objectives by providing consistent, high quality, professional, organisational support to the Director and the wider Departmental/ Directorate team.

Duties and Responsibilities:

Support the Executive PA and manage the Directorate Assistant(s) to provide efficient and effective administrative and organisational support to the Directorate or Department.

Respond to the core requirements of the Directors, prioritising your workload and working flexibility to meet the needs of the service.

Using innovative practices, provide modern, proactive, and confidential support to alleviate the pressure on the Directors and to enable the Directorate to efficiently undertake its work.

Areas of responsibility will include, but not restricted to, dealing with confidential, complex, emotive and political information, managing conflicting and complex diaries, the effective use of digital organisational tools such as Outlook, Microsoft Teams and SharePoint, preparation of documents, agendas, taking of minutes, updating applications, communicating appropriately internally and externally so that the Directors can maximise the efficient use of their time.

In line with the ways of working, manage and direct the day-today operation of the Directorate Assistant(s) and work with the Executive PA to ensure that the appropriate level of support is prioritised according to the needs of the Department/ Directorate. Provide all aspects of effective line management to the Directorate Assistant(s), including regular 121s, appraisals, performance management and managing absence in accordance with the vision, values and behaviours of the council, ensuring that their health and wellbeing is supported.

To complement, develop and support the work of the wider Executive Support Team, providing consistent cover and support during periods of absence and alleviating pressures points across the Directorates. Embrace and role model the ways of working and culture of the organisation and contribute to the continuing development of the Team by sharing best practice and adapting to modern methods of working.

Work closely with the Executive PA, signal early detection of pressure points, alerting them to any significant issues and providing regularly feedback in terms of key strategic boards
