Office Administrator

Role Context:

Worley Field Services are recruiting for an Office Administrator to support the business. The role will be based at our Grimsby Head Office. Roles reporting to this position: Business Admin Apprentice.

Key working relationships: Operations Director, Senior Operations Manager, Assurance Manager, Finance Manager, Sales & Development Manager, Site Managers.

You'll be:

· Required to provide administration support at Management level.

· Use a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel to produce correspondence and documents and maintain presentations, records and spreadsheets.

· Devising and maintaining office systems, including data management and filing.

· Booking internal and external meeting rooms, conference rooms and events.

· Attending meetings, taking minutes and tracking actions.

· Travel management; arranging travel, visas and accommodation.

· Credit card reconciliation/ expenses/ invoices.

· Handle confidential documents/ files.

· Screening phone calls, enquiries and requests, and handling them when appropriate.

· Meeting and greeting visitors at all levels of seniority (internal/external).

· Ordering and maintaining stationary and equipment.

· Arrange IT requests as and when required.

· Contact for event bookings.

· Updating training matrix and booking training courses.

· Meeting planning and support.

You'll have:

· Demonstratable experience in Administration roles.

· Appropriate qualifications and training for Senior level Admin Assistant, Secretarial or similar roles.

· High level of proficiency in preparation of documents, presentations and spreadsheets using Microsoft Office software, including word, PowerPoint, excel and Visio.

· Ability to relate to and work with people at all levels in the company.

· Act as an ambassador for the Corporate Team inside and outside of the company.

· Excellent time management and priority setting skills to meet the varied demands of the business.

· Ability to adapt to manage a wide range of work demands from simple to more complicated tasks.

· Look for opportunities to improve the efficiency and effectiveness of the business.

· Maintain absolute confidentiality for all individuals and their work within the busines s.
