Job Title: Logistics & Resources Coordinator

Location: Great Yarmouth

Reports to: Senior Resource Coordinator

Qualifications: ONC, NVQ or BTEC 3 or equivalent preferred in a relevant subject (Business Administration or Logistics Operations)

The Role: The role involves providing administrative support to the resource and logistics team to ensure that all ODE personnel resources, equipment and third parties are mobilised to the correct offshore locations, at the right time with all the required administrative resources and processes in place to support all helicopter and Marine Logistics activities.

The role will involve working closely with ODE focal points, integrated planners, warehouse logistics and supply chain, 3 rd party vendors and operations engineers.

The role will involve the day-to-day use of VantagePOB, ATS and KoreAdvantage for supply chain related tasks.

Scope of Responsibilities: Organisation and Resources

· Responsible for the update and daily accuracy of ATS (Attendance Tracking System) ensuring that all offshore personnel availability is tracked accurately.

· Responsible for the publishing and maintenance of offshore rotas within ATS.

· Supporting with booking of people onto helicopters using VantagePOB and providing check-in information to ODE personnel and third parties.

· Ensures VantagePOB employing company information, next of kin and personal details have been entered correctly for all personnel being mobilised to an ODE managed asset.

· Coordination of helicopter provider to ensure all utilisation of ODE helicopter is tracked and accurate records kept.

· Processing invoices related to logistics & resources (e.g. Helicopter contract, chartered vessels)

· Update and source updated Employers Liability Information (ELI) on VantagePOB (where required) for all third-party companies.

· Ensures weekly checks of VantagePOB employing company information to ensure only current ODE employees marked have employer marked as so.

· Responsible for assuring the competence and validity of certification of all offshore vendors.

· Ensures shared resource support vessel tracker is updated daily.

· Working closely with Resource Coordinators, is responsible for the ongoing maintenance and weekly issue of vendor activity trackers for all ODE managed assets.

· Responsible for the follow up, receipt and distribution to job responsible engineer of vendor reports following offshore mobilisations.

· Responsible for processing and compliance checking of logistics and resource related supplier invoices (e.g. third-party personnel, helicopter & supply vessel)

· Responsible for collation and update of data required for the monitoring of departmental KPIs

· Any other departmental administrative tasks to support the lifecycle of the department.

Safety and Environmental Related Tasks Safety, Health, Environment and Quality

· Actively contribute to a strong SHEQ culture through visible safety behaviours.

· Follow Health, Safety and Environmental work practices, procedures and methods to meet all statutory requirements and the Company SHEQ Management System

· Develop a good understanding of Air and Marine logistics, walk-to-work methods and marine vessel auditing
