Job description

The post holder may be required to be flexible regarding work location in line with the needs of the service. To attend their shift on time to open the centre, facilitate a thorough handing over and to relieve colleagues. To ensure patients are welcomed in a kind, compassionate and professional manner. To actively oversee and record information in the waiting room area and escalate any clinical concerns to a clinician. To register patient demographics and symptoms accurately, following and within the guidelines set by the Data Protection Act. To make use of IT systems as required appropriate, to arrive, book in and amend records in line with PELC's procedure ensuring optimum efficiency of the queue management system. To identify and promote ways of raising the quality of service to patients. Ensure the reception area is kept clean and organised in line with health and safety at work guidelines. Patiently deal with challenging patient behaviours in a busy environment and in a professional manner. Ensure information leaflets are restocked and visible, including feedback forms, chaperone service and health information leaflets. To ensure all computers are logged in with the appropriate software opened and ready for use. This includes Medway, Reception Duty Tracker on the NHS One Drive, Care Flow, Adastra and any other clinical system as required. To regularly check communication from PELC via email, and Adastra Messaging and read incoming messages. Provide a high standard of clerical support to PELC, A & E, and BHR Radiology clinical and non-clinical staff. To deal with patient queries promptly, efficiently and with empathy. To have an awareness of the layout of the Urgent Treatment Centre, including Majors and Resuscitation, Minor Injuries Unit, Paediatrics, Gynaecology, Emergency Rooms and surrounding areas and be prepared to direct patients throughout the department. To be prepared to revert to the manual procedure in place, in the event of IT down time. To answer telephone enquiries and record messages where necessary while maintaining a high level of confidentiality at all times in line with the Data Protection Act and the Caldicott Report. To promptly escalate clinical incidents to a clinical member of staff on duty and be aware of how to report all types of incident on the DATIX system. To be aware of PELC's key performance indicators (waiting and streaming times), proactively always monitor patient flow, actively communicate with clinicians and escalate/de-escalate Operational Pressure Escalation Levels (OPEL) to the Shift Manager by e-mail as necessary. To ensure all consultation rooms and reception area forms are checked and re-stocked with the correct forms To ensure infection control practices are adhered to in non-clinical areas and clinical areas in an emergency. To follow PELC's Prescription Management guidelines for safe handling, recording and management of FP10 prescriptions. This includes loading prescriptions into printers, filling in indemnity sheets and ensuring their safe handling and storage as per CQC guidelines. To ensure all PELC GP equipment is checked and is in working order, reporting any broken or missing items to maintenance services and management. Post holder is required to familiarise themselves with all aspects of the monthly Reception Duty Tracker and the actions pertaining to its completion. This includes: Daily Site Safety Checklist, 30 Minute Reception Area Check, UTC to Paediatrics and ED Log, Oxygen Cylinder Check, Communications Equipment Tracker, Ticket Tracker, PPE Tracker, Personal Alarm Tracker, Safe Contents Tracker, HCA Equipment Tracker, Inventory. To ensure all signing in/out sheets are updated in real time keys, alarms, fobs To ensure efficient management of PELC medication. This includes managing stock intake, supporting clinicians with dispensing medication and counter sign medication tracking sheets. Accurately recording and monitoring medication room temperatures and reporting any problems to the Shift Manager. To follow prescribed procedure in dealing with any bodily fluid spillages or accidents, reacting quickly and efficiently to ensure infection control standards are met. To provide support to patients and clinical staff as a chaperone when required. To follow the Did Not Answer (DNA) policy via roll call and telephone. To record and distribute Personal Protective Equipment (PPE) to clinical staff in line with PELC PPE policy. To complete administrative tasks during less busy times including: uploading ECGs, ambulatory care forms, outpatient referral forms, BHR first attendance forms, cleaning streaming cards and radios, printing forms, amalgamating duplicate patient records and any other clerical duties. Ensuring Special patients notes are read accurately and escalated to the relevant clinician. To ensure appropriate patients are booked promptly for ambulance transport home using G4S booking system. Ensure that CP-IS database is checked, and alerts escalated to the relevant clinician when booking in children. To detect safeguarding concerns and ensure PELC policy is followed in reporting them. Reporting any incidents to the Shift Manager/On Call Manager. Recording incident on risk/ incident register and reporting this immediately on DATIX. To ensure all statuary and mandatory training is completed in a timely manner, To adhere to PELC/Trust working arrangements.
