Job description

Our client seeks a Business Support Administrator to join their team. Role Profile: The role holder will provide a range of support services to the MD and to Isle of Man office. To ensure a professional front of house reception service is delivered to all clients, employees, intermediaries and suppliers, including the effective management of in-coming telephone lines and client meeting room calendars. In addition, the role will be to provide support to Isle of Man MD and provide general administrative, marketing and business development support to the Private Client team. Key Responsibilities:Meet and greet clients, intermediaries and external visitors in a professional yet friendly manner, maintaining the expected company standards.Set up meeting rooms and boardrooms and provide refreshments as and when required, in accordance with the company catering guidelines.Ensure the smooth set up of IT for meeting rooms with the ability to rectify, through liaison with IT Team, any problems which may occur.Actively manage meeting room and boardroom calendars.Liaising with 'meeting owners' to confirm meeting requirements from a catering perspective and ensure requirements are met, such as dietary needs, allergies.Ensure the reception, meeting rooms, kitchen and welcome area is kept tidy at all times and to manage supplies of milk/tea/coffee with the appointed refreshments vendor.Manage visitor signing in/out and overall security of incoming personnel.Open all incoming mail and co-ordinate couriers.Assist in the preparation of presentations and proposals for prospective clients;Provision of business support to the Managing Director, to include calendar management, responding to emails, travel arrangements (including Organising all 'ground' travel arrangements ie. Taxis / Parking etc) and processing of expenses in line with Group policy, assisting with any client matters and correspondence.Inputting of time on Viewpoint for self as well as for Managing Director and Directors if/when requested to ensure time records are up to date.Assist with the preparation of board meetings, including circulating conference details, printing board packs.Ensure Salesforce and any other new business pipeline reports is up to date with new enquires, updating status, contacts and referrals.Ad hoc project work as instructed by Directors team.Assist with co-ordinating internal management /director meetings, take notes if requested.Liaise with Clients/intermediaries, such as email correspondence, telephone calls and co-ordinating/arranging meetings.Have oversight of general office services, including liaising with property managers and external providers for any property maintenance matters and liaising with cleaning contractors, as necessary.Ensure all health and safety requirements are adhered to, including the diarising for fire extinguisher tests, PAT tests, accident reporting, first aid box.Assist and support with administration activities and queries with other departments where necessary.Adhere to all Company Risk & Associate Compliance procedures in relation to regulatory requirements and AML legislation. Key Skills and Qualifications: Strong organisational skills.Ability to manage multiple tasks concurrently.Confident communicator.
