Job description

A Vacancy at Epsom and St Helier University Hospitals NHS Trust.

This exciting new role based within the Learning & Development team will be multi purposed, combining administrative support to the Education Lead with support and co-ordination to our clinical and nonclinical undergraduate students.

It will have key focus & responsibility for co-ordinating and supporting induction and competency-based training using the digital platform in development.

Lead responsibility for engaging with ESTH, clinical managers and system partners to plan and increase the number of student placement activity across our multi-disciplinary services.

The role will also involve maintaining the digital training platform and overseeing bookings and enquiries regarding training opportunities or placement issues, escalating as appropriate

This will include document control and file management for the team and assist with a wide range of tasks including project work and administrative tasks.

As well as providing administrative support to the team as required they are responsible for general promotion of training programmes with the expectation of

supporting the coordination promotional events in and outside the Trust.

Administrative

Word processing of letters, reports, strategy and policy documents and

papers. The development and creation of spreadsheets, using Word, Excel

and PowerPoint as required and creating posters, notices, and leaflets to

support corporate events.

 General office management to ensure appropriate administrative support to

the team. Creating and maintaining office systems, including the organisation

and control of files, databases, spreadsheets and archiving of expired release

documents.

Maintaining and overseeing the generic email inbox

 Leading on specific projects, for example, compiling and monitoring

programme or provider evaluation.

 Compiling training tracking reports to the Lead for Workforce Development

 Arrange and coordinate meetings and booking required facilities

Education Funding

 Support the Lead for Workforce Development to develop clear funding allocation processes and ensure these are communicated widely and are being followed throughout academic year

 Develop effective systems for processing and monitoring non-education

funding requests

 Support the Lead for Workforce Development in the investigation and identification of other funding opportunities.

Student Support

Maintain communication with Universities and other providers

Maintain the rotation programme of placements across SHC

Provide pastoral support to Students as required while on placement

Liaise with clinical teams in regards any placement of students

Assist in the maintenance of the induction programme and associated documents

Support the Lead for Workforce Development and Education in any delegated matters

Communication
• Receive and exchange information giving reassurance and signposting and non-clinical advice commensurate with post, if necessary whilst maintaining confidentially.
• Responsible for answering and actioning calls and requests in a professional manner and ensure that accurate information is passed to the appropriate member of the team to action within agreed timeframes.
• Lead by example and receive telephone calls and emails in a professional and courteous manner, ensuring as much information, guidance and help is given as is possible.
• Communicate clearly and concisely with colleagues
• Liaise with key stakeholders at a senior level within the Trust and other statutory bodies, external organisations including GPs, local authorities, hospitals and members of the public on behalf of the team where required
• Attend team meetings in order to provide input on new processes and systems being introduced and propose changes to working practices.
• Participate in new staff orientation by communicating and where necessary training in administrative work procedures, processes and systems.

Data and Reporting
• To work with the Manager to support the production of complex monthly reports as required.
• To create and maintain databases/spread sheets, inputting information and ensuring that all information is accurately recorded.

Personal Attributes

• Responsible for ensuring all deadlines are met and own workload is prioritised and reallocated accordingly to meet service need.
• Work cohesively and flexibly with peers providing cross-cover when necessary.

Other Responsibilities

• Liaise with Procurement, Facilities and Procurement issues.
• Undertake any necessary or mandatory training, study or qualification as required for the role.

• Adhere to legislation and Trust policy and procedure on patient confidentiality.

• To undertake such other duties, across Trust sites, as may be required from time to time which are consistent with the responsibilities of the grade.
