The Ground Operations function operates as a multi-disciplinary team of experts driving efficiency and innovation across all aspects of Ground Operations.
As Ad-Hoc Flight Coordinator, your focus will be to coordinate and oversee the +72h ad-hoc flights, from preparation, coordination till supervision of the operations, ensuring all contractual obligations are met and any additional requests are organised and charged as required. This is a multi-faceted role that plays a key and essential role in ensuring completion of each allocated aircraft on time and within the agreed customer quality expectations, playing an integral part in motivating teams to complete the job ‘right at the first time’.
We are happy to consider this role on a hybrid working model with approximately 1 – 2 days office based per week (local office attendance rules may also need to be observed). This is a shift base role covering between 06:00 – 21:00 UTC including weekends.
In this role, you’ll report to the Ad-Hoc Flight Coordination Manager.As the team are based around Europe in our various TUI Airline source market offices, there may be occassional international travel required (probably just a few times per year) so flexibiltity will be required in this regard.

ABOUT THE JOB
As Ad-Hoc Flight Coordinator, you’ll be responsible for:
- Ensuring the coordination and preparation of all operational aspects of ad-hoc flight operations, long term ACMI ops and temporary series of charter flights (non-scheduled flights)
- Coordinating all requested services delivered by the respective ground handling supplier, in accordance with the customer’s expectations, such as but not limited to: aircraft handling, pax handling, cargo handling, fueling etc
- At all times ensure compliance with established protocols and airport operating procedures
- Reporting on performances of crucial activities managed by the different departments, linked to the organisation of the ad-hoc flights and performing root cause analysis when performances are off track
- Focusing on punctuality, on time performance and engagement standards for each flight, inspiring the service providers to work collaboratively and systematically
- Follow-up on any incomplete preparation or new issues and co-ordinate any schedule changes with all parties involved
- Act as the vocal point with the sales department and any other department to report back on any operational issue
- Coordination of long-term ACMI operations, working with relevant colleagues to create and distribute a clear internal briefing document about the operation
- Liaise with aircraft planning and crew scheduling departments for aircraft and crew availability across markets
- Provide suggestions for alignment of the ad-hoc product in all different departments and actively work on the implementation of them
- Aligning with the team of SM&P to provide specific ground handling requirements for the ad-hoc product
- Act as a liaison and point of contact with the client and/or Sales teams outside of normal business hours
- Set up contracts / SLAs with suppliers worldwide (in cooperation with SM&P and Region teams)
- Perform trim checks, dangerous goods checks, pharma ops checks, cargo load checks etc
- Coordinate feasibility checks for specific flights with regards to aspects such as ground handling, performance, safety, security etc
- Promoting a culture of service excellence and maintain a professional image, both personally and corporately
- Establish and maintain strong working relationships within external suppliers to optimise and grow revenue and reduce cost according to the needs of the business and stakeholders
- Proactively look for ways to improve Ground and Cabin related business processes to enhance the overall experience and increase sales
- Develop and implement all necessary policies and procedures to facilitate end-to-end management control and to ensure that all internal operations achieve their business objectives
- Work closely with ground ops stakeholders in assisting the set-up of effective processes in the area you are responsible for
- Close collaboration with the TOCC Teams in the 72hr Operational Window to ensure Operational teams have all the information they require to deliver these flights

- Comprehensive understanding of ground operations activities
- You have strong communications and facilitation skills combined with good interpersonal skills and ability to build trust and productive relationships
- Well-organised, with strong process management skills and an ability to establish and work to priorities
- Highly motivated and willing to take on multiple responsibilities at once
- Resourceful and capable of seeking information, solving conceptual problems and delivering results in challenging situations independently

- Entrepreneurial & self-starting, with ability to work with significant independence
- Role requires strong business English, both spoken and written, and may involve some international travel, knowledge of German, French and Dutch is an advantage
