Job description
What you will do in your working day
- To update/create clinic templates and rescheduling of patients within the appropriate timescales following standard operating procedure at all stages of the process. Update clinic matrix of any relevant clinic changes.
- Ensure that all available clinic slots are fully utilised across both sites: highlighting shortfall of capacity and unutilised slots for new and follow up to Division and Waiting List Manager electronically
- To ensure that interpreters are booked and cancelled/rescheduled where appropriate.
- To notify relevant staff of all changes/updates to clinic templates via email.
- To act professionally at all times and patient and GP enquiries in line with Outpatient Policies and Procedures.
- Notify patients of any short notice clinic cancellations and rebook accordingly.
- To adhere to clinic templates and targets when booking new and follow up appointments within the agreed booking rules. Possible shortfalls of capacity or potential breachers to be emailed to relevant email box.
- Monitor and manage patients who do not attend (DNA) according to standard operating procedure.
- To set up and book patients into additional clinics as arranged/authorised by Division at least two weeks before the appointment date.
- To work flexibly across all Elective Access teams assisting in areas when requested by line manager.
The training you will be getting
- Business administrator Level 3 apprenticeship (weekly training sessions including workshops, assignments, self-study, workbooks and online learning
- Functional Skills maths and English (if needed)
- All statutory and mandatory training (including fire, health & safety, GDPR etc).

- Following completion of the apprenticeship programme, this role will continue as substantive employment with Sandwell & West Birmingham NHS Trust.
- Pay salary at NHS Agenda for Change band 3.
