Senior Administrator
Cullompton
£25k - £28k DOE
A new vacancy has arisen for an experienced Senior Administrator/Office Manager to join a highly reputable privately owned construction related business in Mid Devon. The main purpose of the role will be, to lead and develop the administration team and be responsible for the efficient and effective management of the office on a day to day basis, acting as the link across all the departments. 50% of the role will be admin/coordination and 50% will be supporting the MD and wider business. You will be managing 2-3 administrators and will need to have a proven background managing / mentoring a small team.

Duties (not an exhausted list): - Administration duties
- Provision of monthly analysis information for Senior Management Team to include:
- Management the admin team
- Monitoring general administrative functions and procedures ensuring quality and accuracy of all correspondence
- Managing pay scales/banding for admin team. Regular review/one to one’s with admin team
- Complete office administrative duties and responsibilities for your own client workload – 50% of duties
- Managing and maintaining working practices for: Health and Safety, Fire Safety, First Aiders, ensuring relevant cover for first aiders
- Keeping the office clean and tidy, ensuring day to day supplies are available.
- Continuous review of external consultants used
- Being initial point of contact for all external suppliers.
- Organise quarterly Team Meetings. Assist MD with diary organisation
- Liaison between all office staff to ensure a smooth transition between each department and for each stage of the client’s project, in order to complete tasks in a timely manner
- Regular review of staff workload schedules
- Developing and implementing office policies and setting up procedures to improve processes and efficiency and annual review of all Company policies
- Recruitment for administration positions and supporting/assisting the MD and Associate Directors for recruitment within the wider team
- Creating Induction/Training Plans for new administrators and supporting/assisting the MD and Associate Directors for Induction/Training Plans for the wider team
- Liaison/booking of all external training activities for whole team
- Handling complaints and disciplinary procedures. Ensure legal obligations and HR policies are adhered to
- Be a point of contact for HR questions/issues. Absence Management for the admin team.
- Manage holiday process for admin team, ensuring Holiday Policy is adhered to.
- Review holidays for remaining departments and accurate record keeping.
Experience and attributes required: - The client is open to backgrounds, ideally seeks a candidate with some sort of construction related experience however this is not essential.
- It will be essential to have previous experience within an office management or very similar role.
- You will need to be a highly organised individual who is confident in managing a small admin, whilst supporting and assisting the wider team and liaising with external contacts.
- Strong communication skills both verbal and written
- Advance IT user
- Good Knowledge of HR duties and processes or willingness to learn and take on these duties
