The purpose of the role is to support the development and running of Waltham Petcare Science Institute, which is the global hub of fundamental research for Mars Petcare.
The role will have a strong focus on senior level EA support. In addition, day-to-day project organization and co-ordination where they will support the development, tailoring and deployment of site processes and the visitor experience.
What are we looking for?
- Qualification or experience in the area of EA support for senior managers is highly desirable.
- Excellent organizational skills are needed. Project and events management experience would be advantageous.
- Drive for results, be customer focused and able to respond rapidly to changes in priorities. They will need to be able to multitask and remain composed in the face of ambiguity and challenge.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software, job-holder must be ‘IT savvy'.
- Fluency (written and verbal) in English is essential.
- Discretion and confidentiality in handling sensitive information.
- Ability to work independently with minimal supervision, as well as part of a team.
- High degree of accuracy and attention to detail.
- The flexibility to adapt in order to meet the specific needs of different individuals and also the needs of teams, all with a professional degree of customer focus is essential.
- Comfort around higher management and good communication skills.
- A demonstrated ability to build and maintain professional networks.
What will be your key respo nsibilities?
Executive Administration work is focused on supporting number of executives in their day-to-day activities including:
- Provide pro-active high quality EA services for the Waltham Leadership Team. This will include tasks such as any organized travel, extensive diary management and inbox gatekeeping, expense processing and tech support.
- Coordinate and support preparation of materials for meetings, including agendas, presentations.
- Help organize and facilitate site projects.
- Coordinate and project manage team meetings and minute taking.
- Scheduling/coordinating meetings, diaries, and travel arrangements.
- Organize and facilitate site events such as Quarterly Review meetings, Town Halls, training events, visitors coordination, onboarding events.
- Support in day to day business operations (including correspondences, communication, ad hoc administrative tasks).
- Support external partners, and clients on behalf of the executives.
- Handle confidential discussions, news, reports and messages.
- Actively seek ways to improve site processes and ways of working.
