Your new job role
You will be required to assist the Luxury Travel Specialists in providing our clients with the perfect holiday experience. Demonstrating outstanding Client Service pursuing highly developed communication and administrative skills.
Your duties will include -
- Ensuring all supplier confirmations are received and where possible proforma invoices are obtained
- Book land components (transfers) for sales
- Book airport lounges and fast track
- Send out all APIS forms
- Check APIS details are stored in the system are correct
- Publish and send to all clients their ATOL certificate
- Manage supplier replies from the arrival list
- Action all flight schedule changes following the revised process, update manually in Travelink and provide notice to clients and suppliers where required.
- Manage various mailboxes for incoming emails, distribute and action where required
- Support the sales support & concierge manager with the running of reports and actioning or distributing.
- Take overflow reception calls, directing to the relevant person or department.
- Amendments and cancellations of bookings
- Ensure all hotel, transfer & rep special requests have been confirmed if not chase suppliers
- Assist Sales with any amendments or cancellations by making any changes required for land components
- Issue any document changes required due to amendment or cancellations such as invoices, APIS, ATOL, Booking confirmations, concierge documents, flight schedule changes
- Ensure booking is updated with any changes to additional info in GAL, supplier pre-payment actions or client payment due dates required
- To ensure data required for all systems is entered accurately and consistently
- To check all bookings & confirmations for accuracy and content before passing to the Quality Assurance Team
- Communicate any discrepancies to Luxury Travel Specialists and Quality Assurance
- Endure costs are entered correctly
- Ability to work well in a team and under own initiative
- Able to communicate well, verbally and written
- Good administrative and time management skills
- Conscientious, demonstrating accuracy and attention to detail
- Highly developed grammatical, language and numerate skills
- Good working knowledge of Microsoft, especially Word and Outlook
- Intermediate booking and processing skills
- Knowledge of GDS preferably Galileo
- Previous experience in administration and or within an office environment
- Client service background
