Job Title: Senior PA - Resource Officer
Duration: Starting ASAP - 6 months
Location: Paisley (PA1 area), hybrid working
Working Hours: 35 hours per week
Salary: £23.14 per hour
Basic disclosure clearance required for this role.
Job Duties:
- Serve as the first point of contact for the senior manager, handling correspondence, emails, and phone calls efficiently.
- Direct and delegate tasks arising from correspondence, emails, and phone calls to the appropriate area of service.
- Flag critical actions to the manager and ensure timely responses.
- Review communication from others to identify duplication and ensure correct governance processes are followed.
- Co-ordinate enquiries and complaints, drafting initial response for approval.
- Manage the diary, organise meetings, and appointments, ensuring reasonable scheduling in line with priorities.
- Book and arrange travel, transport, and accommodation as required.
- Prepare communications on behalf of the manager and develop meeting agendas.
- Support strategic planning or operational groups as needed.
- Organise and plan meetings, prepare meeting materials, and take minutes.
- Conduct literature or practice research as requested by the manager.
- Prepare or support the preparation of presentations.
- Assist the manager in financial planning, budget-related work, and collating information for contracts, commissioning, and procurement.
- Manage complaints, enquiries, and FOI requests to ensure response times are met.
Essential Skills/ Knowledge:
- Proficient in IT skills including word processing, email, and internet.
- Excellent communication skills (both verbal and written).
- Ability to work under pressure and meet challenging deadlines.
- Strong problem-solving skills and ability to work on own initiative.
- Effective time management skills.
- Team player with the ability to collaborate effectively.
