Job description

At The Wise Seeker we are looking for a Buying Assistant to work with one of our clients located in the UK: an eCommerce jewellery retailer with over a decade in business. Specialising in uniquely designed jewellery and accessories with a fierce edge and dreamydark twist. They are now looking for an outstanding Buying Assistant to join our small team in our newly refurbished offices located in St Albans.

Tasks

  1. You will be responsible for working with the Buyer to ensure stock is delivered and live on site in line with the critical path.
  2. You will be accountable for the upkeep and improvement of department administration processes.
  3. You will work with the Buyer to monitor SLAs and work to maintain and develop lasting relationships with suppliers.
  4. Provide support to the buyer in all areas of the buying department
  5. Work with Buyer to coordinate product production schedules in line with critical path
  6. Raise purchase orders and place orders with suppliers
  7. Chase and track suppliers through to delivery
  8. Highlight to the Buyer any risks of not meeting confirmed dates
  9. Administration of order management including setting up new lines with ASNs and barcodes
  10. Check the accuracy and detail of product descriptions online
  11. Management of department systems
  12. Manage in bound deliveries
  13. Communicate with fulfilment quality control and suppliers to relate and gather information and to resolve issues.
  14. Keep file of all approved forecasts and orders
  15. Assist with the creation and population of new collection product cascades ensuring accurate product specifications for Marketing team
  16. Work with Buyer to track supplier performance against SLAs ensuring delivery dates quality quantities and product specifications are adhered to
  17. Generate monthly stock reports for inventory levels
  18. Generate reports on product rate of sales depletion date stock out periods merchandising tiering accuracy and collection/product performance
  19. Report on slow sellers for end of lining and price reduction sales events
  20. Generate spreadsheets using Excel and internal stock reporting apps
  21. Communicate with Inhouse assembly team on stock levels
  22. Assist in other departments of the company as necessary

Requirements

  1. 2 years plus experience working in a similar administration role
  2. Shopify or similar ecommerce experience preferred
  3. Understanding of the B2C market preferred
  4. Previous experience working with suppliers
  5. Understanding of jewellery manufacturing methods or a background within fashion or jewellery an advantage
  6. Experience with generating reports

  6. Excellent numerical analytical and communication
  7. Excellent computer skills including MS Office and particularly analytical on Excel (knows VLOOKUPs and Pivot tables)
  8. Extremely organised and able to prioritise work in a fastpaced environment
  9. Confident communicating with suppliers
