Job description

The Administrator supports a team of Employment Advisors and Trainers who deliver employability and vocational training and IAG to participants referred by Job Centre Plus and other referral partners. The Administrator provides excellent customer service, inputs customer data, prepares training rooms, manages attendance data, and evaluates courses. They liaise with employers to ensure customer progression. The Administrator must have excellent organizational skills, attention to detail, and customer service experience. They must adhere to guidelines and carry out any other duties specified by the line manager.

Main Duties & Responsibilities:

The Administrator will be responsible for a variety of database administration and customer and employer contacts activities as detailed below:

Assisting with general queries about the programme from participants both in person and by telephone, providing them with a professional service and timely response to any queries that cannot be resolved there and then.
Working with Advisor and Trainer teams on any inconsistencies, inaccuracies or gaps in their paperwork that are identified to obtain correct and full information to enable the completion of the above activities.
Input distance travelled information into the Survey Monkey system following progress reviews carried out with Advisors and on the basis of information provided to the Administrator by the Advisors.
As and when necessary, cross-referencing against check lists to ensure that all relevant activities, checks, data input. document scanning and database field completion relating to course completion for a customer has been carried out prior to submitting an A41-A47 claim form on the database.
Issue vouchers and petty cash through the personal job account, according to strict rules as provided, carrying out regular reconciliations of vouchers and petty cash as required and reporting this to the finance department and line management.
Carrying out, as directed by the line manager, telephone-based contact with participants to encourage and remind them to complete evaluation of service surveys.
Carrying out, as directed by the line manager, telephone-based contact with employers and hiring managers to encourage and remind them to provide stencils evidencing sustained employment and where necessary, carrying out visits to hiring managers to obtain these.
Other Responsibilities

·Be conversant and ensure full compliance of all company policies, procedures, and statutory requirements with particular reference to Health & Safety (including Safeguarding), The Prevent strategy, Equality / Diversity, ‘Access for All’, Discipline and Grievance

·Ensure, where appropriate, premises are kept in good order, maintaining compliance with statutory requirements

·Be prepared to work at other locations / contracts to share good practice and cover absence as necessary

·Prepare, deliver, or participate in any appropriate learning or development programmes or courses as required by the company; this includes any staff meetings

·To maintain continual professional development

·To carry out all duties and responsibilities, whether specified above or otherwise, in a manner that will at all times promote and support the company’s objective of achieving continuous quality improvement in all aspects of its business

·To undertake any other duties in line with the company business needs.
