Job description
Purpose of the role
The responsibilities entail overseeing administrative tasks pertaining to the daily functions, health and safety protocols, and quality standards within the LGV Workshop. This includes diligently completing all necessary statutory paperwork promptly, aligning with the company's O Licence commitments, and following the guidelines outlined in the DVSA's guide to maintaining roadworthiness as well as vehicle manufacturer manuals. Additionally, it involves ensuring strict compliance with all pertinent fleet regulations and standards.
Key accountabilities
Assist with health and safety within the workshop (to include but not exhaustive PPE control, COSHH, risk assessments, control of legionella etc), including contractor control, by maintaining the contractor database (to include but not exhaustive Avetta, inductions, task authorisations, permits to work etc)
Raising of requisitions, and orders within SAP and Ariba
Dealing with external suppliers, and processing invoices for goods/services received.
Ensuring all relevant statutory documentation is maintained.
Assisting the Workshop Manager/Co-ordinator in maintaining the IMS documentation.
Assisting with the re-ordering of spare parts as they are used from stock.
Liaising with the Weighbridge Technicians regarding vehicle requirements.
Carrying out administration duties necessary for information to be processed within the various management systems.
Scheduling training and keeping records up to date for all workshop personnel
Maintaining and administering all aspects of Vehicle Exercise licences, Operators Licences, insurance and MOT's for allocated sites.
Co-ordinate & monitor accident management for Hanson LGVs for allocated sites
Manage the driver prosecutions process for Heidelberg Materials UK LGVs for allocated sites
Monitor & track fleet fuel usage, maintain stock levels & re-order as required.
Provide reports as required, and any other ad hoc duties, to ensure the smooth running of the distribution function.
Ensuring all relevant fleet compliance is adhered to.
Ensuring all statutory paperwork is completed in a timely manner, in line with the company's O Licence undertakings, whilst observing the guidelines as stated in DVSA's guide to maintaining roadworthiness, and vehicle manufacturer manuals.

The role holder is expected to
be computer literate and have good knowledge of the Microsoft Office Suite. Knowledge of SAP will be an advantage.

Education/Qualification
Minimum of a Grade 4+ equivalent to a C at GCSE in Maths and English
European Computer Driving Licence (ECDL)
