Job description
Primary Responsibilities a.Working to the standards and founding principles set by the Practice. b.Typing letters, reports and associated documentation as required c.Liaising with external agencies such as hospitals and community services d.Managing all enquires in an effective manner e.Actioning incoming emails relevant to job role f.Scanning of patient related documentation and attaching scanned documents to patients healthcare records g.Inputting data into the patients healthcare records as necessary h.Clinically coding data on EMIS Web i.Answering incoming phone calls (both internal and external), transferring calls or dealing with the callers request appropriately and in line with job remit j.Managing all administrative queries as necessary k.Carrying out system searches as requested l.Supporting all clinical staff with general administrative tasks as requested m.Provide caring, un-biased and timely support to patients and other individuals accessing the Practice. n.Manage all queries as necessary in an efficient manner. o.To support the training of staff in the Practice with the functions of the medical secretarial team. p.To implement new procedures/working structures relating to own area of work ensuring that the team are informed of any important changes to Practice policy. q.Maintaining a clean, tidy, effective working area at all times Role Specific Responsibilities: a.Manage workflow into the Practice by reviewing in-coming correspondence and support the clinicians to ensure that they are appropriately coded, actioned and work flowed. b.Scanning of documentation using Docman and Practice software. c.Arranging appointments and tests for patients as directed by the clinician or correspondence. d.Effective and timely liaison with clinicians as and when required. e.Regular audits of work to ensure accuracy and fail safe procedures. f.To receive incoming and to initiate outgoing telephone calls in order to facilitate timely and appropriate communications with patients and others, taking messages and dealing with queries appropriately. g.General administration to support the data management requirements. h.Monitor and action the Practice inbox and Engage software as per the remit of the role. i.Data entry into the clinical system and other systems as required to support contractual obligations. j.To administer all aspects of the safeguarding process, attending meetings, liaising with safeguarding leads when required. k.Processing notifications of death and supporting clinicians to complete certifications. l.Liaising with third parties including Coroner, funeral directors, care homes. m.Providing support and direction to a deceaseds family, remaining compassionate and effective. n.To use and maintain all computer systems in an accurate and secure manner in conformance with GDPR and date protection requirements. o.Provide support for patients on end of life care, including maintaining a register, arranging and minuting palliative care meetings which take place once a month and ensuring relevant documentation is completed e.g. ReSPECT and DNACPR forms. p.Adapting and updating relevant protocols and ensuring dissemination to those involved.
