Job description
Provide a comprehensive administrative/support service to the consultant psychiatrist and/or senior staff and the clinical team, including typing correspondence, memoranda, reports, emails and other documents using audio and word processing equipment. Organise and attend in an administrative capacity regular CPA (Care Programme Approach) reviews, Professional meetings, and Care Education Treatment Reviews for CAMHS inpatients, which includes the coordination of diaries for internal/external professionals, parents/carers. Coordination of (MHA) Mental Health Act paperwork, liaising with the MHA Office. This also includes the compiling of reports within a set deadline and ensuring the smooth running of these meetings. Maintain a high degree of confidentiality in relation to patients, their relatives and members of staff. Liaise with patients and families, GPs, external agencies and a wide range of staff both internal and external to the organisation using a professional and courteous manner at all times. Organise and maintain office systems, such as filing, sending and receiving faxes; the receiving, distribution of external/internal mail, photocopying. Maintain and update electronic and paper diaries, including arranging appointments and meetings. Compile and organise preparatory papers for meetings, taking minutes as appropriate. Provide admin support including minutes to business meetings and referral meetings. Use the electronic patient database system to input, validate and update patient information. Work within the systems to deal appropriately with referrals to the team and act accordingly. Co-ordinate the trainees attached to the service. Attend a regular admin meeting with your team and admin manager, contributing to the discussion and agenda. Be aware of workloads within the admin team and support colleagues as appropriate. Maintain accurate patient records, both paper and electronic, including filing and data input within confidentiality guidelines. Work within Trust and Directorate policies and procedures. Negotiate annual leave and use of flexi time with line manager. Assist in providing support and cover for admin Staff within the directorate during annual leave and sickness, including reception cover.
