Job description
Working collaboratively with the Founder/Creative Director, the Production Coordinator will lead the company in sourcing & production for our e-commerce & wholesale business.
Due to the time-sensitivity of our supply chain & strict deadlines across many time zones, the role comes with a level of responsibility to drive the critical path forward as management, the candidate will be expected to deal with time-sensitive emails or matters outside of 9am – 5pm office hours. It will be the successful candidate's responsibility to put procedures in place to reduce urgency and limit the contact out-of-office hours. Some travel may be required.
The Role
Main point of contact with suppliers:
- Working closely with our manufacturers in China & India
- Liaising with our material & trim suppliers internationally
- Managing the critical path with all suppliers across sampling, order deadlines, fit approvals, quality control, manufacturing through to delivery
Production Sourcing:
- Attending virtual & in-person seasonal trade shows alongside design
- Sourcing new suppliers to replace or improve certain elements of the supply chain
- Re-budgeting & sourcing alternative solutions to increases in raw materials across the supply chain
- Researching & sourcing innovative, new sustainable technologies to be considered for materials or manufacturing
Product Development:
- Build and maintain a close working partnership with the Founder/Design Director to develop the collection from the initial concept through to the finished product
- Ensuring deadlines are adhered to, follow up on all prototype/sample issues to resolve and drive to completion.
- Identifying, calling out & making recommendations to mitigate any risks/challenges identified at all stages
- Drive new product ideas from concept through to sampling & production
- Constant communication with the factories managing the critical path for our wholesale and e-commerce
- Manage the budget for the collections, ensuring product costs meet margin requirements and the overall collection is delivered within budget
- Arranging & attending fit, and quality control sessions to sign off amendments to the manufacturers.
- Manage & sign off the design/fit/QC packs
- Providing support by working with suppliers to find solutions across fit & quality control
- Approving & signing off all materials going into production across the supply chain
- Working on the bulk supplier orders for wholesale, e-commerce, and flagship
- Managing the ordering process, purchasing & delivery of all materials with our suppliers for sampling and production
- Managing the ordering & timeline for design samples, sales samples, fit samples, size runs, and pre-production sign-offs & packaging
- Liaising with our founder to ensure all sample deliveries are on time to showrooms before the sales presentation
- Reviewing compliance, and standards manuals from wholesale accounts and then actioning requirements with suppliers for packing, ticketing, and shipping
- Managing the sampling & production budget for each season by working on the prices with suppliers & sourcing alternatives where needed to keep the budgets in line.
- Working on margins across the supply chain to make sure styles are costing for wholesale & e-commerce
- Being responsible for negotiating style prices, increases in raw materials or increases in freight & logistics
- Checking all order PO/PI against bulk orders, sampling invoices and our wholesale platform JOOR and monitoring that quotes & prices are adhered to from sampling through to delivery
- Working on wholesale & retail pricing in multiple currencies for different international shipping warehouses
- Imputing of data & prices in our system for margin design/production analysis
- Overseeing style entries into our wholesale sales system JOOR & making sure all pricing is correct across currencies
- Liaising with our accounts assistant to raise proforma invoices for all suppliers and make sure payments are happening according to the critical path and are made correctly.
- Working with our freight agent to organise & ship supplies across the world on time & within budget
Experience & Profile:
- Worked for a larger retailer, luxury brand or luxury independent brand in a similar role
- A minimum of 2 years' experience in Production or working as a Senior Production Assistant or Senior Product Developer looking for their next challenge
- Excellent use of written English
- A proven leader & negotiator with very strong communication skills
- Passionate about production, sourcing & sustainability
- Excellent attention to detail & you’re positive, enthusiastic, & hard-working
- Well-organised & efficient with good time management and prioritisation
- Ability to work in partnership with the founder, understanding & interpreting their creative aesthetic & design vision & translating this to external teams.
- Understanding of warehousing and freight operations
- Technical capability & product knowledge with the ability to confidently influence and provide on-the-spot solutions
- Confident in dealing with supply chain issues & finding quick solutions with suppliers
- You are technical, analytical, & comfortable using Excel, yet have an eye for design and are passionate about product & quality, and fit.
- Proven track record of managing the critical path for production
- Ability to analyse risks across the supplier chain & implement solutions to prevent them from happening
- Able to build & manage a budget with commercial awareness & understanding of product cost, achieving a balance between creativity & commercial implications throughout the product development process
- In-depth knowledge of fashion & products in the relevant category
- Knowledge of trends, the market, the luxury consumer, & peer awareness
- Chinese language skills are beneficial
