Job description
Chain of Hope is an international medical charity that provides treatment for children suffering from life threatening heart disease in developing countries. In addition to this, Chain of Hope is developing cardiac services overseas through training and building infrastructure and providing vital medical equipment.
We are looking for an enthusiastic and talented Fundraising and Communications Administrator to join our successful and exciting Fundraising Team, who is passionate about Chain of Hope’s cause and eager to grow our reach and help raise further funds to continue our work.
A key responsibility of this role will be supporting both the Communications Manager and the Director of Operations in the day to day fundraising duties as well as assisting on our key fundraiser, the Chain of Hope Gala Ball in November.
This post is full time and the core office hours are Monday-Friday, 9am to 5.30pm. A degree of flexibility is expected on both sides, as there may be times when work takes you outside of these hours (especially when working on events) and there is also an understanding that when necessary, you may need to work earlier or later. This will be accommodated wherever possible.

Fundraising Administration
- Provide administrative support to the Fundraising team and on all fundraising activities, including minute taking at meetings.
- Responsible for ensuring that data for all income is recorded into our in-house database (ThankQ) ensuring we maintain data integrity by achieving a high level of attention to detail
- To write and send thank you letters and other stakeholder correspondence.
- To maximise on Gift Aid opportunities and to record accurately on the database.
- Prepare quarterly Gift Aid claims in preparation for submission to HMRC with support from the Director of Operations.
- Provide excellent customer service to current and prospective donors via mail, telephone and email.
Database
- Day to day administration of our database: including data entry, reporting, creating mailing lists and generating financial reports based on received donations.
- Maintain the database and ensure all fundraising contact information is kept up to date.
- Support the Communications Manager with mail outs and communications including letters, emails, invitations, mail merges and envelope writing/stuffing.
- Provide regular internal updates to the Fundraising team, and to the wider organisation, for example in team meetings and with email updates.
Social Media
- Create and curate compelling content for various social media platforms, including Facebook, Twitter, Instagram, and LinkedIn.
- Monitor and respond to social media comments, messages, and mentions.
- Collaborate with the Communications Manager to plan and execute social media campaigns and initiatives.
- Analyse social media metrics and provide regular reports to assess the effectiveness of campaigns and suggest improvements.
- Stay informed about industry trends and competitive landscape to enhance the organisation's online presence.
Event Support
- Provide specific assistance with the Chain of Hope Gala Ball as directed
General
- Assist with general office duties such as answering the phone, collecting and recording post, answering the door and welcoming visitors
Skills and Experience
Essential
- Strong administrative experience in an office environment.
- Good knowledge of Microsoft Office (Word, Excel PowerPoint and Outlook)
- Ability to work successfully in a team environment.
- High standard of written and verbal communication skills.
- Strong organisation skills and attention to detail including accuracy.
- Efficiently manage your time to ensure deadlines are met.
- Ability to work pro-actively and flexibly.
- Desire to improve admin and database systems/procedures
Desirable
- Degree or equivalent is desirable.
- Previous experience of supporting a busy fundraising and/or events team.
- Previous Gift Aid experience.
- Previous experience in social media and content creation including use of analytics tools
- Experience/ambition to work in the not-for-profit sector Working with volunteers.
- Previous experience of working on a CRM system
