Job title: HR / People Team Apprentice

Reporting to: Head of People (UK & China)

Location: Bury St. Edmunds, Suffolk

Hours: 37.5 hours per week

The Opportunity

To provide efficient general and administration support to the People Team Department.

This role will provide with a variety of tasks and will have the opportunity to get involved in projects. The role is critical in ensuring operational support through supporting all manner of administrative tasks and requests related to employee general queries, processes, systems, policies, and general administration, escalating enquiries where necessary. Alongside you will be studying for Level 3 apprenticeship in Human Resources Support.

What you’ll be doing

The responsibilities of this role include but are not limited to:

General:

• General administrative support to the People team members, include admin or co-ordination support for the Communications and Engagement Executive
• Exposure to first line People procedures, such as minute taking at investigations, or meetings as required.
• Manage the People email Inbox and proactively respond on behalf of the team or escalate queries as appropriate
• Coordinate the Leavers process ensuring timely communication with the employee and stakeholders, whilst complying with GDPR.
• Creating and monitoring monthly pulse surveys
• KPI data population, monthly, quarterly and annually
• Support the development and maintenance of the HR SharePoint/Communication Platform Area.
• Reception cover as required.

Wellbeing:

• Arrange Occupational Health appointments, update the HRIS system to monitor appointments/renewals, collate outcomes and liaise with the HR team regarding further actions as required
• Support with fist level absence and maternity processes as required
• Support the coordination of employee special events, such as Annual Parties, Length of Service events, Values Awards, including sourcing entertainment, budget management, and being available at the event as a point of contact

Recruitment Support:

• Support the People team with the recruitment and selection process, co-ordinating and scheduling interviews when required.
• Coordinating the company induction, ensuring high levels of communication throughout the process, and request references ensuring replies are received in a timely manner.
• Meeting People compliance by sourcing Eligibility to Work in the UK documentation and where necessary Pre-Settled/Settled Status confirmation.

HRIS:

• Updating of the HRIS system; adding new starters, making payroll amendments, and other required changes in a timely manner to ensure deadlines are met
• Liaising with the Rewards and Benefits Coordinator to ensure accurate and timely communication with regards to changes and where required the updating of payroll-based spreadsheets
• Holiday administration, supporting end of year processes and calculations for holiday purchase schemes.
• To actively encourage other departments in their use of the system and to assist with training and guidance where required

GDPR:

• Maintenance of personnel files ensuring compliance with GDPR, confidentiality and best practice
• To actively manage the HR GDPR process ensuring deadlines are adhered to via the use of checklists and calendar reminders
• To attend quarterly GDPR meetings with the Paralegal/Company Secretarial Assistant and HR Advisor leading on HR updates and actions

• GCSE C or above (or equivalent) in English and Maths
  
• Competent with MS Office
  
• Experience of using a Human Resources Information System desirable but not essential.
• Previous Administration/HR experience desirable but not essential.
