Job description
Hexagon’s Asset Lifecycle Intelligence division (Hexagon) is looking for a reliable Administrative Assistance who will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The ideal candidate will be competent in prioritizing and working under little supervision. They will be self-motivated and trustworthy.

- Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately.
- Coordinate office activities and operations to secure efficiency and compliance to company policies.
- Act as the point of contact for any issue related to office documentation update.
- Manage phone calls and correspondence (e-mail, letters, packages etc.)
- Track stocks of office supplies and place orders when necessary.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Oversee company car fleet.
- Oversee mobile phone for personnel.
- Arrange travel and accommodations.
- Performing ad-hoc administrative duties.
- Support collection of information and preparation of documents for tenders.
- Support registration on various customer portals, uploading documents and info.
- Support qualification process - prepare a set of documents to reach supplier qualification.
- Proven experience as Receptionist, office assistant or relevant role.
- Good communication and interpersonal abilities in oral and writing in English.
- Excellent planning and organizational skills.
- Familiarity with office management procedures and basic accounting principles.
- Excellent knowledge of MS Office and office management software (ERP etc.).
- Qualifications in secretarial studies will be an advantage.
- High school diploma: BSc/BA in office administration or relevant field is preferred.
