Job description

Your Responsibilities

As Manager Exim you must have hands on experience in Import & Export Procedures. Knowledge of Customs Operations and follow customs related process with all involved parties: including planning, procurement, transport, freight forwarders and customs brokers to ensure smooth and customs compliant movement of the goods. The role will cover as well: reporting and analyzing the reports in terms of customs duty paid and customs brokers' remuneration and compliance with customs regulations. You will supervise the processing of customs claims, manage communication process with stakeholders regarding customs requirements on transport lanes, claiming customs refunds, duty drawback & export incentives. Daily operational work with customs brokers & freight forwarders for both export and import, including planning, transport office, procurement.

Expectation From The Role

  • Support tender management to ensure business requirements are met.
  • Support international cargo, export and import processes.
  • On-Time Delivery: Measure the percentage of shipments that are delivered on time to assess logistics efficiency. In case of import & export measure the percentage of shipments that are delivered on schedule.
  • On-Time Pick-up: Measure the percentage of shipments that are picked-up on time to assess logistics efficiency. In case of import & export measure the percentage of shipments that are picked-up on schedule.
  • Transportation Cost per Unit: Monitor the cost-effectiveness of transportation services by calculating the cost per unit of goods shipped.
  • Efficient Import & Export Management: Assess and implement an effective and efficient import & export management.
  • Customs Compliance Rate: Ensure adherence to customs regulations and minimize delays by tracking the accuracy of export & import documentation.
  • Compliance Adherence: Ensure adherence to import/export regulations and compliance with relevant laws.
  • Customs Clearance Time: Track the time it takes to clear customs for imported shipments.
  • Cost per Unit Shipped: Evaluate the cost efficiency of importing by calculating the cost per unit for shipped goods.
  • Lead Time Reduction: Strive to minimize the time it takes for products to move from pick-up to delivery. Aim to decrease the time between receiving an request and final delivery.
  • Error Rate: Measure accuracy in documentation and processes to minimize errors in export & imports.
  • Customer Service Metrics: Evaluate business unit satisfaction with logistics services, including responsiveness and issue resolution. Collect feedback from internal and external customers to gauge satisfaction with import logistics.
  • Supply Chain Visibility: Enhance transparency by monitoring and improving visibility into the entire supply chain.
  • Damage and Loss Rate: Track the percentage of products damaged or lost during transit to identify areas for improvement.
  • Supplier Performance: Assess the reliability and performance of suppliers to ensure a smooth and reliable supply chain.

  • Ensure the area of responsibility is properly organized, skilled, trained, and directed.
  • Guide, motivate, and develop direct and indirect aides following HR policies, and coordinate talent management and succession planning within assigned area.

  • Ensure operational excellence for customs operations.
  • Promote and ensure the proper implementation and rollout of the Center of Expertise (CoE) for customs operations within Business Units.
  • Initiate, drive and/or support implementation of strategic cost saving initiatives and risk mitigation projects.
  • Address and escalate appropriately project activities not compliant with processes and procedures, and/or not meeting savings target.
  • Be the liaison to the Trade, Transport & Logistics organization.
  • Ensure all operations are executed by approved service providers in line with the strategy from the global TT&L organization.
  • Regularly collect demand and ensure adequate levels of supplier capacity are in place. Work closely with other functions to generate projects and bring value on quality, cash, transit time, material availability and costs.
  • Drive results towards common targets and KPIs.
  • Follow-up on the spend, saving evolution and market trends.
  • Ensure that all the factories in your area of responsibility are working aligned with the global tariffs and agreements with suppliers.
  • Forecasting of the yearly spend and savings for transport activities.
  • Support and consult the factories in transport cost control.

Straight Responsibilities – Key Performance Indicators

  • Check and report all user requests / planning / execution status of all consignments.
  • Co-ordinate both Internally and Externally for Customs declarations inbound and outbound.
  • Co-ordination with freight forwarder & Customs Broker (CHA) for timelyfiling of Bill of entries/Shipping bills and other customs clearance documents.
  • Co-ordination with Freight forwarders (FF) / Transporters for documents required for movement of goods.
  • Respond to any Clarifications / documents requirement of CHA's and FF's.
  • Co-ordinate with all internal & external stake owners on regular basis for improvement in process.
  • Prepare Management Information Sheet (MIS) and Daily Status reports (DSR) for inbound and outbound movement of cargo both domestic and international.
  • Analyze Cargo movement data both domestic and international and share required reports to management.
  • Prepare demurrages and detention report both inbound and outbound cargo.
  • Co-ordinate with internal stakeholders for Customs duty payment.
  • Co-ordination with Business teams and consultant for Compulsory compliance requirements.
  • Cost optimization and reporting cost savings.
  • Verification of supplier bills, update as per format and send to finance.
  • Co-ordination with Business and transporters for on time placement of Vehicles.
  • To track and report TAT's for BoE filing and clearing.
  • To track, Measure and report supplier KPI

Your Background

  • Bachelor's degree in accounts, supply chain, Science, Technology Engineering or Mathematics.
  • Hands on experience on various Microsoft tools & SAP Applications.
  • Strong Planning & customs Skills.
  • Minimum 8 years of experience in customs & Trade operations in Transport, Trade, Logistics.
  • Good influencing skills and stakeholder management.
  • Ability to work independently and under pressure.
  • Experience in customs, foreign trade, logistics, finance, planning or procurement.
  • Excellent negotiation, communication, and presentation skills.
  • Excellent analytical skills with the capability to transform data into actionable plans.
  • Fluent in English in a MUST, other languages are a plus.
  • Flexibility to travel 25%.
