Arranging domestic international and Railway tickets considering approval matrix and cost.
Comparing air fare on the airline websites or online ticketing portal.
Arranging hotel booking.
Vehicle arrangement for MD and management staff on PAN India basis.
Managing end to end activity in case of any VIP customer/guest visit to office/factory.
Arranging forex for overseas travel. After completion of travel forex to be returned to vendor and ensuring refund receipt to be submitted to accounts to clear the tour advance taken by an employee.
Coordination to activate Iroam for overseas travel.
Arranging visa as per requirement. Coordination with travel agent to ensure that visa process takes place in time. Arranging all necessary Company documents for visa process.
Arranging travel insurance for overseas travel.
Coordination with travel agent/Insurance Company in case of any travel insurance claim to be processed against delay in baggage/flight or any medical emergency.
Ensuring travel agent uses corporate code to track the productivity of airline and saving money in terms of cancellation / changes of ticket.
Reaching out to different hotels for accommodation facility and arranging for corporate deals with them. Inspecting the hotels periodically and check if they are as per our standards and SLA s are met.
Coordination with airlines for better corporate deal considering the volume of the business.
Coordination with legal in terms of agreement of vendors/airline.
Submitting of invoices on timely so that vendor s payment releases on time
Coordination with accounts team for reconciliation of vendor s account in every quarter.
Uploading senior management s travel bills petrol claim on HR portal and tracking the payment status for the same.
Approving travel claims/leaves of the reportees to the senior management on the HR portal.
Coordination for company events meetings as per requirement
Attending Employee requests/complain related to workstations/hygiene/repair and maintenance in absence of immediate supervisor.
Negotiating with Admin vendors as per instruction from immediate supervisor.
Ensuring facility cleanliness is maintained.
Checking attendance of Housekeeping staff and their daily activities.
