Job description

Preferred Qualification & Experience:

• Bachelor's degree in Facilities Management, Commerce, Business Administration, or a related field(preferred)

• Minimum of 10 years of experience in facilities management, with progressive responsibility and leadership roles

• In-depth knowledge of facility management principles, best practices, and industry standards.

Key Responsibilities:

• Experience in Amin MIS -Expenses report on a weekly/monthly basis.

• Vendor Management skills and experience in managing a floor.

• Physical Security.

• Emergency and Help Desk experience. Travel desk Experience is a must.

• Supervising the day-to-day operations of the administrative department and staff members.

• Ensuring the office is stocked with necessary supplies and that all equipment is working and properly maintained.

• Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions.

• To look after safety arrangements, firefighting, and emergency preparedness

• Event Management and organizing various staff welfare activities

• Effective managing of visitors, security staff and other support services like horticultural, housekeeping and material / scrap / waste handling

• To manage logistics arrangements , dealing with transport union and other conveyance facilities in a cost effective manner

• Maintain office equipment , furniture and pest control activities

• Ensure everyone maintains entries in a register for visitors and In-ward /outward register for receipt and issue of material.

• Ensure all housekeeping staff is properly attired in clean uniforms and report for work as per the timing agreed.

• Annual Maintenance Contracts (AMC) to be entered into and proper records to be maintained to ensure that all preventive maintenance is carried out as per the schedule agreed in the AMC to keep all critical assets ; equipment in working condition.

• Prepare and maintain company Asset management list.

• Vendor Management: Finalizing Quotations ; Developing new competitive vendors for Printing; Stationary, Office Equipment, Pest Control, Merchandise, Gifts, Brochures Posters, A.C

• Contractor, House Keeping, and Making Annual Maintenance Contracts with the; renewal for the same. Keep follow-up Vendors payment with the Accounts department: Submit bills making PO & WO.

• Contract Employees Registration, Renewals, Appointments of various contractors; Vendors like Security, Canteen, Housekeeping, Couriers, Printer, Transport ; Travel, Stationery, Housekeeping Monitoring of Office Premises, etc.

• Security Ensure security of Men ; Materials, access control, the safety of the premises, overall setup.

• Assigning Priority of work. Reduction of Overtime. ; also Monitoring Electrician, Carpenter, Peons, ; Company Car Driver, giving directions to them as per the Priority of work.

• Transportation Fixing routes, destinations, negotiations with contractors, monitoring smooth running of office peon, Record keeping of Office assets ; Store Assets

• Events Organizing – Conference, Meetings, Exhibition, New product Launch ; events.

• Travel: Responsible for Travel Arrangements ; Accommodation for Management; Executives.

• Checking of Tour traveling experience of all sales ; office team ; daily cash voucher as per company policy ; arranging requirements for New Joinee office staff.
