Completes a broad variety of administrative tasks for the Director, including managing an extremely active calendar of appointments; attending key meetings with top management, compiling minutes and action items, proactive follow-up on the agreed action items and briefing “ Summary Notes ” to the Director, thus facilitating Director’s ability to lead the organization. Briefing Director about upcoming meeting and giving details to enable Director to be better prepared in the meeting.
Arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings, handling calendar of director during the travel and any other travel related assistance.
Plans, coordinates and ensures the Director's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Director's time and office.
Communicates directly, and on behalf of the Director with the other Board members, LOB and Functional Heads, Clients, Vendors, Staff and others, on matters of importance.
Maintains discretion and confidentiality in relationships with all the board members.
Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Director, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect Director’s style and organization policy.
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Director, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
Establish and maintain relationships with functional heads so that they respect and maintain the chain of communication. Provides a bridge for smooth communication between the Director's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
Evaluate and assist in developing office policies and procedures for improved work flow and anticipate future needs as organization grows.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Handles Director’s adhoc personal and official matters with appropriate sense of urgency.
Requirements
Engineering graduate with reputed institute with MBA from Tier 1 /Tier 2 colleges
Ability to add value in chain of communication
Detail oriented with domain knowledge of IT Services and SAAS businesses
Ability to multitask and handle pressure, flexible to work timings in different time zones & located in Bengaluru and no WFH.
