Overall Purpose/Objective

Of the job

Oversee the travel and hotel booking operations for all corporate employees as well as provide assistance to other Project/ site employees. Assist the Administration team in carrying out basic administration responsibilities for the corporate office

Key Responsibilities

Ensure requisition for hotel/ travel booking is received in the defined format with necessary approvals from Department Head and all complete instructions (date of travel, destination, special instructions, etc.).

Manage optimization of expenses incurred on travel and hotel for employees by building relationships with the service providing agencies and obtaining cost-effective deals from them.

Verify travel bills received from the various travel agents against the bookings made and ensure all necessary documents are attached (employees boarding pass, copy of ticket, travel requisition copy, etc.)

Verification of all vouchers/ bills received from employees for inter-city travel before forwarding the same to Accounts for reimbursement

Verify all hotel bills as paid by the employee before forwarding the same to Accounts for reimbursement

Assist the Administration team by taking care of basic administration work e.g. maintenance of stationary, IT consumables (printers, cartridges), etc.

Maintain up-to-date documentation for functional operations including maintenance of operational expenditure.
