COMPANY DESCRIPTION
The Screenwriters Association (SWA, formerly Film Writers' Association) is a Trade Union of screenwriters and lyricists who work for Films, TV and Digital Media in India, based in Mumbai.
ROLE DESCRIPTION
This is a full-time on-site role located in Mumbai for an Executive Secretary. The Executive Secretary will be responsible for providing executive administrative assistance to the Chief Operating Officer and the Executive Committee of Screenwriters Association.
Brief Job Role & Responsibilities
- You will handle official correspondence for the Chief Operating Officer, General Secretary, and for other Chairpersons of Sub-Committees
- You will organise & coordinate all EC, DSC & subcommittee meetings.
- You will develop the agenda in consultation with the EC & respective subcommittee members.
- You will ensure that all concerned members are notified of agenda, date, time and venue of the meetings.
- You will make available any documents that relate to the agenda.
- You will prepare Minutes of all meeting within a few hours from the day of the meeting:
1. Start and finish times of all meetings;
2. Maintain a list of those present, absent and date of next meeting;
3. Maintain a record of all decisions and further action (including names of movers and seconders) ;
4. Prepare accurate, objective and in a professional way a concise summary of reports given and discussions had at the meeting and circulate amongst concerned members; (Avoid self-interpretation, opinion and prejudice).
- You will make sure that any reports or information requested at the last meeting is made available.
- You will coordinate and follow-up, including sending timely reminders to EC members and concerned parties, for implementation of the outcomes/ decisions taken in the respective meetings.
- You will send a reminder of each decision requiring action to the relevant person.
- You will draft effective correspondences and reports.
- You will manage meeting calendars.
- You will deal directly with members (either face-to-face or via correspondence) , handling complaints, queries and other issues that they may be facing. This includes supervising and drafting all outward communication from SWA office and providing consultation to members and non-members, as well as third party, on emails and phone calls (for complaints, queries, collaborations, events, proposals etc.)
- You will handle any other matter or tasks as they come up and considered appropriate by the COO for the Executive Assistant/ Secretary to handle. This may also include providing general administrative support as and when required.
You will report directly to the Chief Operating Officer .
This includes taking responsibility of implementing actions, managing, and coordinating important and necessary matters, as deem fit by the Chief Operating Officer.
Qualifications
- Bachelor's degree in any discipline.
- Excellent drafting, communication and interpersonal skills.
- 0-4 years of post-qualification experience in executive administrative assistance.
- Professionalism, adaptability and discretion.
- Knowledge of MS Office/Google Workspace and proficiency in English, Marathi and Hindi.
Note: Additional language skills and experience working in the film/TV industry is desirable but not essential.
