Overview & Responsibilities

Under the direction of Manager - Field Service Operations and in close cooperation with NAGS Finance and Administration staff as well as Service Sales Engineers, manages the administrative, contractual and commercial aspects of field service projects (internal project management), from inquiry to final billing and collection.The purpose of this job is to plan, schedule, enter orders and coordinate Field Service jobsto ensure consistent services are provided on all call out and project work

A college degree (business or accounting preferred) or equivalent experience in service related activities
2. Commercially and contractually minded and skilled.
3. Good organization ability and self motivation
4. MS Project experience (or similar, i.e., Primavera)
5. Good working knowledge of Microsoft Word, Excel, and Lotus Notes
6. Good command of English language, both written and oral
7. Technical background, selling skills and field oriented background would be an advantage
8. Flexible with ability to cope with a wide varitey of tasks.
9. Must have aptitude to interact and maintain a good working relationship with internal and external contacts.

Principal activities involve participation in quoting, planning, scheduling, contract review, and internal administration of NAFS jobs
Managing and controlling contracts, including organizing purchasing
Internal selling, briefing of field project managers and service engineers prior to site work commencement and provide commercial, contractual and administrative assistance during the project.
Assisting service sales when selling major field projects.
Provide administrative support to the field service organization in:
Assisting the support engineering group to commercially and contractually handle claims
Assisting in the warranty of project requirements which then leads to cost evaluation

This is a line position with all work being covered by policy, precedent, or standard procedure.

Having to respond to new, unfamiliar, or original situations can be expected.

Internally, this job requires regular contact with Elliott aftermarket sales, technical, shop and accounting personnel, and all personnel in Field Service Operations.

Externally, contract is primarily with customers/equipment user functions of Project Manager, Contract Administrators, Purchasing Agents, Engineers and
Maintenance staffs. Contact occurs also with both Elliott and non-Elliott vendors, subcontractors, and authorized agents supporting Elliott Field Service Operations.

Travel requirements are estimated at 20% for several days duration.

Responsible for the administrative support of Field Service jobs in North America to handle commercial, contractual and administrative aspects of a project such as but not limited to:

Assists in inquiry review, quote generation and selling effort process as necessary. 
Receives, reviews, processes, resolves and acknowledges customer purchase orders.
In cooperation with sales, coordinates and resolves commercial issues, i.e., credit, insurance, contractual terms and conditions.
Opens orders and jobs on Vantage and communicates order information to Elliott sales, shop, accounting, etc...
Organizes purchase orders for material or subcontract work associated with projects.
Communicates all project requirements via project briefing/coordination meeting to project managers, service representatives, vendors, subcontractors and accounting personnel, including milestones, changes in scope, pricing, schedule or other contract requirements.
Coordinates and tracks extras such as changes in scope, pricing, scheduling, delays or other contract requirements with customers and subcontractors as appropriate.
Initiates PO amendments if not performed by Project Manager
Communicates with all project managers and subcontractors on a regular basis.
Provides weekly job performance/status reports.
Generates billing summaries for both project and call out work to ensure monthly sales are obtained, including compilation of necessary invoice supporting documentation
Flags progress billing due dates
Responsible for electronic filing of quality documentation
Provides management with an early indication of problem areas and recommendations for improved performance.
In conjunction with Service Supervisors, maintains master schedule for all Field Service Operations.
Participates in the Quality Management System process and provides recommendations for corrective and preventive actions and continuous improvement.
