Join us as an Analyst, Inventory Management, within the I.T. Service Center (ITSC) team on our Service Delivery team supporting one of largest customers in India, to do the best work of your career and make a profound social impact.
Job Role:
- Allocational and physical deployment of IT computing assets such as laptop/desktops/tablets and other IT accessories.
- Receive, coordinate delivery of all IT assets with BIES across different sites and stock asset in IT stores.
- Updating the stock/inventory registers on a daily basis and communicating the changes to GIFS, Finance, AMA and other stakeholders on a regular basis.
- Managing and maintaining the stock of physical IT asset tags(stickers) by collaborating with regional AMA. Allocation and deployment of Asset tags to non-tagged IT assets such as Printers, VTC systems etc.
- Stock management of low value IT assets such as monitors, mouse, keyboard, headset etc. Regular assessment of stock inventory provides reports to GIFS for fulfilling current and future business requirements and for replenishment and procurement.
- Manage and coordinate intra and inter-city IT asset movement by obtaining gate passes, declaration letters and any other documents required for IT asset movements.
- Updating IT asset information in GSEP, Finance and BIES databases on a regular basis by initiating the process, filling related forms, documents. Updating computer records in GSEP for new hire onboarding, change of ownership and company exit cases on a daily basis.
- Manage and Provide business unit wise asset inventory, reports on need basis for projection and planning purpose.
- Collaborating with business focal, managers to document the type of computers and IT accessories to be stocked and work with GIFS for procurement and replenishment.
- Facilitation of employees leaving the company by providing IT asset details to users and IT technicians as per the deployment data and update records and databases accordingly.
- Initiating IT asset disposal on quarterly basis by identifying the end of life assets and collaborate with GIFS and tech team to lead the overall asset retirement process.
- Provide Finance team updates for capital assets status to keep the fixed assets register current and updated.
- Manage and submit IT compliance records in the compliance management system on defined schedules.
- Perform daily and long-term operational and strategic management of hardware and software
- Plan, monitor, and record hardware assets and/or software license to make sure they complied with vendor contracts in different software tools
- Apply a continuous improvement approach in enhancing the strategies employed in technology spending, as well as in tracking company assets within the Configuration Management Database (CMDB) throughout their lifecycle
- Ensure effective management of the CMDB and that the content contained is accurate
- Provide supervision to staff of procurement analysts
- Provide KPI/Metric information and standardized reporting on a scheduled basis together with unscheduled reporting demanded by management
- Define and enhance scheme for identifying hardware and software-related assets as well as CIs, including versioning and dependencies in the asset management tools, attributes, the Contract management library, and the CMDB
- Manage inventory of CIs and assets, including dependencies and attributes), making sure that modifications, withdrawals, and additions of existing ones are correctly recorded by the teams in charge in the tools to ensure that the vendor contracts are complied with
- Responsible for managing lifecycle of hardware and software models in the DML right from their introduction to their retirement
- Generate and distribute various reports, including compliance reports on current assets and CIs and their status; also perform trend analyses
- Perform verification and audit of DML and CMDB content; verify software assets with license contracts, confirm hardware assets with actual inventory, and initiate corrective actions and tract them
- Ensure process efficiency by implementing the key performance indicators; suggest improvements to the process continuously
- Design processes relating to software and hardware asset management, execute and enhance them
- Establish and maintain documentation of procedures, processes, and reports concerning asset and configuration management
- Take part in other ITSM processes, or as required perform as a back up to maintain operational activities
- Create and execute governance and strategic asset management function
- Collaborate with infrastructure teams to determine trends in asset performance
- Perform research on industry best practice and incorporate it with organizational practices
- Run regular reports on GSEP (Workday) and Active directory asset deployment database for identifying the gaps and lead the efforts to eliminate the gaps and discrepancies between those databases.
- Leading annual or on requirement IT asset physical verification and audit activities working with Finance, BIES and other IT roles in the company by providing data, information and addressing the issues and gaps identified.
- Creating, updating IT assets management GSEP dashboards for providing regular, on demand reports for IT hardware inventory.
Required Skills:
- 5 or more years of experience in IT asset hardware management and service delivery.
- Bachelor’s degree in Computer Science or related technical discipline, or equivalent experience is MUST.
- Should be familiar with IT Asset Management lifecycle concepts (procurement, allocation, transfer, retirement) and physical stock and Inventory management.
- ITILv4 certification and other IT asset management certifications desirable.
