Job description

The Dispatch Manager ensures the seamless operation of dispatch activities for the company's highly perishable and delicate bakery and pastry products. He/She ensures coordination between production and outlets, to make sure correct quantity and quality of products are connected on time. This involves hands-on leadership, with the manager personally supervising and leading a team of supervisors and associates and workers in a high-stress, deadline-driven environment. He or She has to forecast and plan vehicle and manpower requirements, negotiate favourable commercial rates with vehicle vendors, and meticulously maintain records for finance, inventory controls, legal and compliance, and quality assurance.

KEY DELIVERABLES

  1. Ensure Production orders from the outlets, sales and customers are given to production department in a timely fashion after ensuring correctness of the order.
  2. Collaborate with the Central Kitchen Head to assess the readiness of highly perishable and delicate bakery and pastry products for dispatch.
  3. Personally supervise and lead a team of associates and workers in a hands-on manner, ensuring efficiency in sorting, staging, and dispatching of products.
  4. Plan and coordinate the dispatch schedule to meet delivery timelines for 80+ outlets.
  5. Oversee the ordering and maintenance of necessary equipment for the dispatch process, ensuring compliance with quality standards.
  6. Follow and enforce company 5S methodologies in the dispatch area.
  7. Validate the functionality and performance of equipment used in the dispatch process, promptly addressing any issues.
  8. Develop and implement standardized processes for sorting, staging, and dispatching, ensuring consistency and efficiency.
  9. Monitor all aspects of dispatch operations, identifying inconsistencies and non-compliance with established standard operating procedures (SOPs), and take corrective actions as needed.
  10. Generate accurate invoices, transfer orders, and other documentation for all incoming and outgoing products.
  11. Ensure compliance with health and safety regulations in the dispatch area and maintain a high standard of hygiene.
  12. Collaborate with cross-functional teams, including Assistant Managers, Supervisors, and associates, to ensure a smooth integration of dispatch operations .
  13. Plan and forecast vehicle requirements for the next few months based on varying business volumes.
  14. Negotiate favourable commercial rates with vehicle vendors to optimize transportation costs.
  15. Maintain meticulous records for finance, inventory controls, legal and compliance, and quality assurance to ensure accuracy and prevent any variation or non-compliance.
  16. Prioritize safety as a top concern and implement measures to ensure a secure and hazard-free working environment.
  17. Maintain real-time awareness of the status of operations throughout the day to proactively address any potential issues.
  18. Closely coordinate with the Packing Manager to ensure appropriate protection and storage conditions are followed for highly perishable and delicate products.
  19. Monitor and control expenses related to dispatch operations, ensuring adherence to budgetary constraints.
  20. Analyse cost data regularly and identify opportunities for cost reduction without compromising on quality or efficiency.
