Job description

We are looking for a responsible Executive Assistant to perform clerical tasks in a well-organized and timely way. You will need to act proactively and without guidance while understanding the needs and characteristics of people with whom you work with.

 

Responsibilities

 


- Efficiently manage the executive's calendar, coordinating and organizing appointments, meetings, and events. 

- Facilitate seamless travel arrangements, including booking flights, accommodations, and transportation for the executive. 

- Draft, review, and dispatch communications on behalf of the company executive, ensuring clarity and professionalism in all correspondences. 

- Take charge of meeting preparations, including gathering relevant documents and arranging meeting logistics to ensure smooth proceedings. 

- Handle incoming phone calls, taking messages, and promptly relaying information to the executive. 

- Prioritize and manage emails, responding to important messages on behalf of the executive as required. 

- Maintain meticulous records and documents for the company executive, ensuring confidentiality and accuracy. 

- Foster effective communication and coordination with internal teams, fostering collaborative efforts and streamlined operations. 

 

 

Requirements

 

- Bachelor's degree in a related field or equivalent experience, providing a solid educational background for the role. 

- A minimum of 2/3 years of experience as an executive assistant, demonstrating exceptional expertise in supporting senior executives. 

- Excellent interpersonal skills, with the ability to build and maintain professional relationships with diverse stakeholders. 

- Outstanding organizational skills, ensuring efficient time management and prioritization of tasks. 

- Proficiency in using modern tools like Trello, Notion, Airtable and other relevant software to enhance task management and efficiency. 

- Exceptional business communication skills, both written and verbal, exhibiting proficiency in professional correspondence. 

- Proficiency in office software suites, enabling efficient document preparation and management. 

- Discretion and tactfulness in handling sensitive information and confidential matters. 

- Adaptability and flexibility, capable of thriving in a dynamic and fast-paced work environment. 

- Proactive problem-solving abilities, anticipating needs and providing solutions to challenges.
