JOB SCOPE

Role : Project Administrator

We are currently seeking a passionate and organised individual for our Project Administration position on our MacIntyre Wind Farm project. The successful candidate will play a vital role in ensuring the smooth and efficient operation of the site office. The Project Administrator will be responsible for managing administrative tasks, coordinating project documentation, and providing support to the project management team. This individual will work closely with site personnel, subcontractors, and other stakeholders to facilitate project progress and maintain a safe and productive construction environment.

This position will be based in our project site office, which is approximately 40 minutes from Warwick, QLD.Job Description

• General office administrative assistance including photocopying, filing, document collation, archiving, data entry and any other tasks required to support the project staff.
• Ensure adequacy of office related equipment, amenities and supplies, including ordering, delivery tracking and managing relationships and correspondence with suppliers.
• Coordinate vehicles on site and manage servicing and repairs in liason with the Supervisor, Facilities & Office Support.
• Process invoices and PMR requests as required.
• Screen telephone calls and handle enquiries; deal with letters and emails.
• Produce letters, reports and presentations.
• Manage visitors and assit with inductions as requested.
• Assist the project team with ongoing administrative and organisational tasks as required, including travel bookings.
• Work collaboratively in a global matrix organisation.
• Develop and maintain efficient administration systems and processes for the project.
• Maintain good working relationships within the business area and site personnel.

JOB REQUIREMENTS

• Relevant administrative qualifications or equivalent experience
• Preferable 5+ years experience in a Project Administrator role within a construction setting (large scale construction projects experience preferred).
• Essential Proficient skills in the following software: MS Excel, MS Word, MS Outlook, SharePoint
• Strong and clear communication verbal and written
• Demonstrated ability to work independently to organise and prioritise demands, handle multiple complex tasks simultaneously, set and meet deadlines and follow-through within a fast paced environment with multiple and competing demands
• Must be project-focused, team oriented, accountable and results driven
• Must be energetic with a positive can do attitude
• Have a genuinely helpful demeanour to assist Project Manager and team members where required.
• Ability and willingness to adapt, quickly learn and put to use new skills and knowledge brought about by rapidly changing structure, process, information and/or technology
• Current Drivers License.
• Flexibility to travel as required.
