Salary : 20k-50k

We are looking for a versatile and highly-organised personal assistant to perform personalised administrative duties for senior management. In this role, you will be responsible for scheduling meetings, taking notes, and handling correspondence on behalf of managers. You may also be required to make travel arrangements and assist with other duties when required.

To ensure success as a personal assistant, you should exhibit excellent organisational skills and demonstrable experience in a secretarial role. Accomplished personal assistants are intuitive to the needs of the managers and work autonomously to provide customised administrative support.

Qualifications

  • Masters is Preferred. But will consider all candidates.
  • 2-4 years of experience as a personal assistant would be advantageous.
  • Are excellent with written and verbal communication and skilled in English; outstanding interpersonal skills
  • Extensive experience in creating documents and spreadsheets, using office software such as Google Drive (Workspace) and Google Docs, Sheets, and Slides.
  • Have a successful record of obtaining solutions and results while demonstrating good judgement and operating within the scope of assigned authority
  • Can make decisions on your own with a high level of attention to detail
  • Can handle multiple tasks and prioritise in a fast-paced environment with tight deadlines; capability to monitor deadlines and remind the business leaders of the impending ones
  • Have excellent organisational and planning skills with the ability to anticipate executive's needs and to determine the best use of their time
  • Hold a positive attitude, are passionate and can thrive in a super-fast-paced and evolving environment

Responsibilities

  • Reporting to senior management and performing secretarial and administrative duties.
  • Arranging board meetings.
  • Copying, scanning, and faxing documents, as well as taking notes, setting up meetings and recording them. Maintain MoM, Sharing MoM with internal & external stakeholders ,follow up on MoM.
  • Typing, formatting, and editing reports, documents, presentations, maintaining the data and records.
  • Manage complex calendars, optimise stakeholder's time, meeting organisation, travel coordination, and expense reconciliation
  • Maximise team's productivity by streamlining communication; track and help drive completion of key deliverables
  • Coordinate and track internal, and external clients and candidate meetings
  • Direct team engagement activities and spearhead special projects
  • Managing internal and external correspondence on behalf of senior management.
  • Arrange bookings of internal and external meeting rooms, catering, and similar for meetings and team events
  • Act as the point of contact between the executives and external stakeholders
  • Provide general administrative support
