Role Overview Vendor Operations specialist works in close collaboration with the Content Ops & Vendor Partnership Lead, and Content Strategy & Processes Lead to manage the ever-growing Vendor Base for ELL function. They manage relationships with existing vendor partners and expanding the vendor pool as per changing strategic requirements.

The role will be responsible for building and strengthening relationships with vendors through effective rate negotiations, contract negotiations, onboarding, and ongoing management. Your expertise will be crucial in ensuring a steady supply of high-quality vendors to meet our growing needs.

You will work closely with cross-functional teams to develop, implement, and manage vendors, resource planning, and vendor performance metrics and ensure continuous improvements in standardised ways of working, procedures and processes, as well as other critical Vendor Management initiatives.

Team size No Direct Reports Key Requirements Candidate must have industry experience in Publishing or EdTech or similar domains. Knowledge of current industry trends, major players, competitive landscape. For example, use of AI in content realm, images, translations, VO etc. Knowledge of popular Publishing vendors and their offered capabilities. Experience in negotiating contracts and managing vendor performance metrics would be a plus. Proficiency in tools like Excel or Tableau for analysing vendor performance metrics would be a plus.

Key Responsibilities Vendor Strategy Support: Develop knowledge & understanding of current vendor capabilities and new business needs. Share knowledge & understanding of vendor capabilities with the business and support teams in deciding which vendor to work with. Proactively identify potential vendors to expand and diversify our vendor pool. Develop and implement ideas to attract new vendors in line with our business requirements. Develop and execute comprehensive vendor management practices to enhance vendor relationships, minimize risks, and maximize value. Identify potential vendors, conduct vendor assessments, and negotiate contracts to secure favourable terms. Identify potential cost-effective vendor partners to align with company’s strategic plans. Support team with establishing processes and workflows for effective vendor management. Rate card management: Collaborate with vendors to establish mutually beneficial pricing agreements. Monitor market rates to ensure vendor rates remain competitive and aligned with market conditions. Identify opportunities for cost savings without compromising on vendor quality and service levels. Negotiate new rates / rate revisions with vendors and ELL teams. Support Pearson ELL teams to understand vendor rate cards. Implement changes and/or new rates on vendor rate cards and ensure correct mapping with internal Oracle systems. Vendor Contracts Management: Active negotiation and execution of vendor contracts, ensuring terms and conditions meet our standards and objectives. Collaborate with legal, finance, and other relevant stakeholders to facilitate contract reviews and ensure compliance with legal and regulatory requirements. Identify and address contract-related risks, discrepancies, and issues. Responsible for Contract Lifecycle, HealthCheck, and Performance. Vendor Management operations: Manage onboarding processes for new vendors ensuring seamless integration into our operations. Regularly review vendor performance, develop and implement key performance metrics to assess vendor performance, including delivery timeliness, quality, and customer satisfaction to ensure adherence to service level agreements and quality standards. Proactively seek opportunities to enhance vendor selection, onboarding, and management processes, proposing and implementing process improvements to enhance operational efficiency and vendor satisfaction.

Expected Results Increase in vendor pool diversity: The person in this role will successfully identify and attract new vendors that align with the company's business requirements, resulting in a more diverse and robust pool of vendor partners. Improved vendor relationships: Through the implementation of comprehensive vendor management practices, the person in this role will foster stronger relationships with existing vendors, resulting in better communication, reduced risks, and increased value for the company. Cost savings: By regularly monitoring market rates, negotiating new rate agreements, and identifying opportunities for cost savings without compromising quality, the person in this role will help the company save money and achieve cost-efficiency. Streamlined processes: With their support in establishing processes and workflows for effective vendor management, the company will benefit from streamlined operations and improved efficiency in working with vendors. Mitigation of risks and issues: The person in this role will actively identify and address contract-related risks, discrepancies, and issues, ensuring the company's compliance with legal and regulatory requirements and protecting the company's interests.

Key Relationships Internal : Content Strategy and Production team, Functional heads, Segment Directors, PMO etc. External : Key Account/Relationship Managers from Vendor companies. Work with various functional heads to ensure smooth vendor relations throughout. Collaborate with various functional heads to understand internal business requirements and find resourcing solutions to fill the gaps. Collaborate with cross-functional teams to define vendor selection criteria and participate in the vendor evaluation process. Provide full transparency and regular reporting on all open initiatives to line manager and business head.

Experience, Skills and Knowledge: 5+ years of experience in vendor management, supplier relationship management, or related roles. Strong negotiation skills and experience in rate and contract negotiations. In-depth knowledge of vendor selection protocols and best practices. Proficiency in relevant software and systems, such as contract management systems and vendor management tools. Ability to take initiative, self-direct, think creatively and develop innovative approaches and solutions. Capacity to embrace change and quickly adapt to new situations, changes in direction, and altering priorities. Ability to proactively drive multiple open action items to closure with liaison with various stakeholders involved and meet deadlines. Ability to understand, adapt, initiate, and implement changes. Ability to communicate effectively with multiple stakeholders, in both written and spoken forms, including communication of difficult or sensitive information. Ability to collaborate actively with internal and external cross-functional teams and to build consensus and foster collaborative relationships. Strong project management, numerical ability, quantitative analysis, data mining and organizational skills. Excellent communication and interpersonal skills, with the ability to build and maintain strong relationships. Detail-oriented with strong analytical and problem-solving abilities. Sound business and financial acumen, with the ability to navigate a complex and highly matrixed organization effectively, establishing effective communication lines to multiple stakeholders.
