Job description

Job Description: We are seeking a highly organized and proactive Personal Assistant/Executive Assistant to provide comprehensive support to our CEO and CTO. The ideal candidate will possess exceptional communication skills, impeccable attention to detail, and the ability to multitask effectively in a fast-paced environment. This role requires a high level of discretion and professionalism, as the Personal Assistant/Executive Assistant will be privy to sensitive information and will act as a trusted liaison between the executive team and various stakeholders.

Responsibilities: Manage the CEOs and CTOs calendars, including scheduling appointments, meetings, and travel arrangements. Screen and prioritize phone calls, emails, and other communications, redirecting or responding as appropriate. Prepare agendas, presentations, and briefing materials for meetings, ensuring that all necessary information is accurate and readily accessible. Coordinate and facilitate communication between the executive team and internal/external stakeholders, maintaining professionalism and confidentiality at all times. Assist with the preparation and editing of documents, reports, and presentations, ensuring consistency and adherence to company standards. Handle administrative tasks such as filing, scanning, and organizing documents, maintaining an efficient and organized workspace for the executives. Manage expenses, process invoices, and track budgets for the CEO and CTO, ensuring accuracy and compliance with company policies. Provide support for personal tasks and errands for the CEO and CTO, including managing personal appointments, coordinating family schedules, and handling personal correspondence as needed, ensuring a seamless balance between professional and personal obligations. Anticipate the needs of the executives and proactively address any issues or challenges that arise, demonstrating flexibility and adaptability as needed. Coordinate special projects and initiatives as assigned by the executive team, collaborating with other departments to ensure successful outcomes. Maintain a high level of professionalism and confidentiality in all interactions and communications, representing the executives and the company in a positive manner at all times. Key Skills: Bachelor's degree or equivalent experience preferred. Proven experience as a Personal Assistant/Executive Assistant or similar role, supporting C-level executives. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines. Strong written and verbal communication skills, with a keen eye for detail. Ability to maintain a high level of professionalism and confidentiality at all times. Flexibility to adapt to changing priorities and work independently with minimal supervision.
