Maintain office by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, ID, and access cards)
Order front office supplies and keep an inventory of stock
Update calendars and schedule meetings related to facilities
Manage travel, accommodations, and visa requirements
Keep updated records of office expenses and costs in coordination with the facilities team
Engaging with HR and Line of business related to facilties aspects
Perform other clerical receptionist duties such as filing, photocopying, transcribing
Help interview candidates by directing them to the respective hiring manager/HR
Assist in general administrative activities and contribute to the Monthly Management Report (MMR)
Participate in Emergency Evacuation procedures including crisis management and business continuity
To act as a backup to facilities team in case of emergency/requirement
Assist in utilization of conference /meeting rooms and Co-ordinate with facilities team for event management
Greet and welcome guests/clients as soon as they arrive at the office and direct visitors to the appropriate person
Responsible for handling incoming and outgoing calls including distribution. Provide basic and accurate information in-person and via phone/email
Receive, sort, and distribute daily mail/deliveries
Education And Experience
Graduate in any discipline
4+ years experience in a similar function
Computer Literacy: Microsoft Office applications (Outlook, Excel, PowerPoint, and Word).
Proven ability to function effectively as part of a team
