Job description

Experience : Minimum 5-6 years of experience in Manufacturing plant .

Qualification : MSW or Masters with specialization in HR

MAIN RESPONSIBILITIES PERFORMANCE INDICATORS:

Knowledge of Factories Act and SPINE HRMS. ( HR Software)Recruitment Ensuring all positions are closed within 45-50 days of receiving the requirement.

a. Following the recruitment process and closing positions as required for both on-roll and off-roll

b. Ensuring all documents of recruitment are maintained and update

Pre joining and Joining Formalities

a.Background verification, medical check-up follow up and execution of selected candidate

b. Preparing Induction schedule, Welcome aboard, Email Id, Asset allocation form, New joinee inputs, ID card, HR Master, Vendor Master, getting employee code for new joinee from Corporate team

c. Joining Kit to be given to new employee, getting introduce new employee with all existing staff, plant round

d. sending all the original documents with joining kit to Mumbai office and keep one zerox set at plant

e. Giving induction as per induction schedule- by HR and then all dept.as per schedule

f. Giving training of spine to new joinee

g. Updating new joinee in success factor

The background and medical has to be initiated and completed within one day from the day the Offer letter is issued. All pre-joining formalities have to be completed atleast 2 days before the joining.

Post employee joins, the joining kit and documents have to be shared with Corporate HR within 2 days after the joining.

Probation Formalities

The probation form has to be sent to the HOD atleast 20 days prior to the confirmation/extension date. The location HR has to ensure the employee receives the letter on the date of confirmation and provides acknowledgement on the same within 1 day.

a. On the completion of six months of the employee, probation evaluation form needs to be filled by the HOD and submitted.

b. Ensuring the process is completed within the defined timelines. Coordinating with Corporate HR for the same.

Attendance

a. Weekly upload the shift, resolving attendance related queries of the employees, sending mails weekly in DLU- ring for updating attendance

b. Sending attendance confirmation to Corporate HR before the payroll as per the timelines provided

All shifts, need to be updated in advance for the upcoming weeks. Regular attendance checking needs to be done on Spine and monthly report need to be given as per the deadlines

Monthly Reports

a. Preparing On roll and off roll Cognos send to Corporate HR on 26th of every month

b. Offroll contractors invoice to be check as per check list given by them to be done on 1st of every month

c. Monthly Accident Report to be done on 1st of the month

d. LTFAR Report to be done on 1st of the month

e. Off roll Monthly Absenteeism Report to be done by 5th of every month

f. Monthly Attendance report On roll & Off roll to be done latest by 22nd of every month based on the salary cycle

g. Monthly Off-roll employee master report to be done by 8th of every month

All reports need to be provided as per the mentioned deadlines

ISO & Training

a. Maintaining all the documents/ files related to ISO

b. Mainly forms are,

c. Manpower requisition form

d. Induction form

e. Induction feedback form

f. Training Identification Form (Newly introduced)- when employee gets confirm then this form need to be filled up HOD

g. Training Co-ordination - attendance sheet, filling up training feedback form from participants

All processes and documentation need to be completed as per SOP

Exit Formalities

a. Sending goodbye mail of left employee to Corporate HR a day in advance

b. Clearance form and exit interview form to be filled up by the employee who is going to leave the company

c. Collecting employees' ID card, corporate credit card- if he/she has. Along with ID card, Corporate credit card clearance form and exit interview form scan copy and hard copy to be send to Corporate Team

d. Deletion of the employee from the success factor

Ensuring the resignation received has been accepted by manager with last date mentioned. Forward the same to Corporate HR and ensure the resignation acceptance letter is issued to employee within 3 days. Location HR initiates the exit formalities 2 days prior to employees last day. Completing the exit formalities on the last day of employee and sharing the documents with Corporate HR

Other important responsibilities Completing all work as per the deadlines

a. Preparing daily attendance emails

b. Shop Floor round and ensuring proper smooth overall functioning
