What this job involves: Prioritising the facilities' needs Working with ASAPC Lead, you'll ensure that all administrative functions of facility services to be covered for ASPAC Lead. Likewise, you'll strive for continuous improvement in the process. You'll shall draft, review and send communications on behalf of ASPAC Lead, manage scheduling, Organize and prepare for meetings, including gathering documents and attending to logistics of meetings. Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries. Most importantly Maintain confidential and sensitive information, complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material. Assist in ASPAC Lead in project planning, intake, prioritization, initiation, execution, and training; as well as in fostering collaboration of end-users and key stakeholders. Likewise, you'll Prioritize emails and respond, when necessary, Coordinate travel arrangements and compose and prepare letters relating to routine correspondence. In addition, you'll help mitigate risks by taking part in emergency evacuation procedures, and handling crisis management and business continuity plans. You'll also be on top of health and safety issues that may arise, and actively participate in reviewing them. Also, part of your mandate is to monitor the project related budget. As the personal assistant, you'll make sure that there's enough support provided to operations. You'll also see to it that vendor invoice processes comply with standards & payments are done timely. Going above and beyond expectations Client satisfaction is second nature to the person in charge. In this role, you'll take on difficult issues and seek out opportunities to improve operations. You'll also be constantly in tune with the team to achieve key performance metrics and meet service level agreements. In addition, you'll carry out routine service audits to ensure that the team maintains its overall performance. You'll also oversee creating stock reports, meeting minutes and monthly management reports to the clients. Sound like you To apply you need to have: Strong knowledge of executive assistant job Playing a key role, the ideal candidate holds a degree in any business or hotel, graduate and building management, and at least three to five years' experience in facilities management or corporate sector, Excellent written and verbal communication skills, Excel & Word, MIS etc. You must also demonstrate good working knowledge in secretarial task, as well as aptitude in client-centric operations.
