As a Senior Admin Officer, you will ensure the smooth functioning of the company's facilities and office administration. You will play a crucial role in ensuring that administrative functions are efficiently managed to achieve a high level of productivity within the company. This position will report to the VP of Operations.
Job Summary
- Manage end-to-end office administration such as facility management, procurements, and logistics both in India and Germany locations.
- Oversee the office facilities and equipment that are functional and manage overall maintenance, repairs, and replacements if necessary.
- Supervise inventory control systems including facility supplies, logistic tracking movements, and office asset management.
- Manage end-to-end travel arrangements for employees, associates, and consultants, both in-country and international.
- Spearhead all administration and logistical arrangements such as internal/external meetings, visits, workshops, and conferences across locations.
- Develop and implement relevant policies, procedures, and guidelines concerning office operations and administration.
- Administer external vendors and suppliers and ensure optimal vendor performance with cost-effective measures.
- Lead new initiatives for administrative processes and improve existing ones to enhance the overall organizational performance.
- Support in day-to-day operations such as preparing and presenting regular reports, and maintaining proper documentation, and records for correspondence and audit purposes.
Qualification and Experience
- A degree holder in a related field; preferred MBA in Office Administration or Operations.
- Minimum 4 years of relevant experience, preferably in a tech start-up.
- Must have proven experience in effective travel and office management.

- Proficiency with Ms Office, JIRA/Confluence, HubSpot, Big Picture
- High level of professionalism and multi-tasker.
- Ability to prioritize tasks and be flexible to adapt to international work culture.
