Job description

Responsibilities

Standardization of Processes/ SOPs :

  • As Admin In-charge, standardize and implement SOPs for admin services in coordination with the services lead
  • Proactively seek and drive amendment of processes to drive optimization and efficiencies in quality and cost of service delivery

Hard And Soft Services

  • Support infrastructure team to undertake structural upgradations/repair works
  • Acting as the management point of contact for day to day Mechanical and Electrical, IBMS, scope of maintenance, asset register / change, annual maintenance planning, forward maintenance planning, planned maintenance delivery, reactive maintenance delivery, simulated power test, capacity planning & reporting, planned downtime or risk reporting, unplanned outages & emergencies, energy management & consumption analysis & reporting, and compliance to all statutory regulations for facilities services delivery and operations
  • Supervise and inspect work activities to ensure clean, orderly, and attractive presentation of the corporate building/structure conformance to prescribed standards of cleanliness
  • Manage successful running of F&B service operations; Ensure food quality and service delivery standards are maintained
  • Oversee all cleaning and upkeep of office premises including timely pest control, effective garbage & waste disposal, and horticulture activities
  • Support housekeeping, laundry services, mail/dispatch services, record maintenance, stationary services, key management, etc.
  • Be accessible for escalation of all FM related issues in the corporate office

Governance And MIS

  • Ensure all site admin processes comply with governance protocol and defined SOPs
  • Maintain MIS for Site Admin Head and partner with concerned stakeholders and develop effective action plans and mitigate risks
  • Manage regular operational reviews & ensure service delivery basis defined SLAs

People Management

  • Coordinate with vendor partners for agency staff attendance, leave records, annual leave planning, and providing relievers as per plan
  • Coordinate with agencies for providing effective support for replacement and new recruitment at site

External Stakeholder Management

  • Manage key relationships with external vendor partners and agencies and coordinate related activities
  • Support oversight on partner/vendor performance and help resolve escalations
  • Help liaise with local government bodies and build long lasting strategic relationships to be leveraged effectively

Qualifications

Educational Qualification :

Relevant Bachelor's / Master's Degree

Experiences

  • 10 - 12 years of experience in administration and related services into corporate set-up is MUST
  • Good knowledge of hospitality and general administration
  • Ability to multitask, manage diverse stakeholders and operate effectively under constraints
  • Good interpersonal and communication skills
