Job description
- Office Operations:
- Ensure the smooth day-to-day operation of the office by managing office supplies, equipment, and maintenance.
- Oversee reception and front desk duties, including greeting visitors, handling phone calls, and managing appointments.
- Document Management:
- Maintain and organize physical and electronic files, documents, and records.
- Ensure confidentiality and security of sensitive information.
- Meeting and Event Coordination:
- Coordinate and schedule meetings, conferences, and events.
- Arrange travel itineraries and accommodations for staff when necessary.
- Vendor and Client Onboarding:
- Develop and maintain efficient processes for onboarding vendors and clients.
- Ensure all necessary documentation and contracts are completed and filed appropriately.
- Payment Collection:
- Oversee the collection of payments from clients and customers.
- Collaborate with the finance department to monitor outstanding invoices and payments.
- Vendor and Supplier Management:
- Manage relationships with office vendors and suppliers, negotiate contracts, and ensure cost-effectiveness.
- Process invoices and monitor expenses related to office services.
- Administrative Support:
- Provide administrative support to various departments, including document preparation, data entry, and correspondence.
- Assist in creating and maintaining office policies and procedures.
- Facility Maintenance:
- Oversee maintenance and cleanliness of office facilities, including liaising with building management when needed.
- Health and Safety Compliance:
- Ensure compliance with health and safety regulations and emergency procedures.
- Develop and implement safety protocols and guidelines.
- Coordination with Legal Department:
