Position: Wedding Planner/ Manager – CS & Operation (project Management end to end)

Job Summary: We are seeking a dedicated and experienced individual to join our wedding planning team as an Executive/Manager in Customer Service & Operations. This role involves overseeing and managing all aspects of wedding projects from inception to completion. The ideal candidate should possess exceptional organizational and communication skills and be able to ensure the successful execution of wedding events, meeting and exceeding client expectations.
Key Responsibilities:
- Project Initiation:
- Call up the client for their wedding requirements. Requirement can come from and digital source
- Meet with clients to understand their wedding vision, requirements, and preferences.
- Collaborate with the sales and design teams to create a project plan that aligns with client expectations.
- Develop and present project proposals and budgets to clients for approval.
- Project Planning:
- Coordinate with vendors, suppliers, and service providers for all aspects of the wedding, including venue, catering, decorations, entertainment, transportation, and more.
- Create detailed project schedules, timelines, and checklists to ensure all tasks are completed on time.
- Secure all necessary permits, licenses, and approvals for the event.
- Budget Management:
- Develop and manage project budgets, tracking expenses and ensuring cost-effectiveness.
- Negotiate contracts with vendors to secure the best deals and pricing.
- Continuously monitor budgetary constraints and seek opportunities to optimize spending.
- Vendor Coordination:
- Liaise with vendors to ensure they understand and meet project requirements.
- Act as the main point of contact for vendors, resolving issues and disputes as they arise.
- Conduct site visits and inspections to ensure quality and adherence to specifications.
- Client Communication:
- Maintain constant communication with clients, including regular phone calls to keep them informed of project progress and address any concerns.
- Provide updates and recommendations to clients, offering solutions to challenges or changes in plans.
- Team Management:
- Lead and manage a team of event coordinators, assistants, and support staff.
- Assign tasks, set priorities, and provide guidance to ensure the smooth execution of events.
- On-Site Event Management:
- Oversee the setup, execution, and breakdown of wedding events, ensuring everything runs smoothly.
- Resolve any last-minute issues and make quick decisions to adapt to changing circumstances.
- Post-Event Evaluation:
- Conduct post-event evaluations to assess client satisfaction and identify areas for improvement.
- Analyze and document the project's success and challenges for future reference.
Qualifications:
- Bachelor's degree in Event Management, Hospitality, Business, or a related field (preferred).
- Proven experience in event planning, project management, or wedding planning.
- Excellent organizational and time management skills.
- Strong negotiation and communication abilities.
- Ability to work under pressure and adapt to changing circumstances.
- Proficiency in project management software and Microsoft Office applications.
- Knowledge of local vendors and venues is a plus.
- Certification in event planning or project management is beneficial.
