Job description

We are seeking a

Virtual assistant

for a leading company in the oral care industry, dedicated to revolutionizing oral hygiene with innovative and sustainable solutions. Committed to environmental stewardship, we offer high-quality, eco-friendly oral care products that prioritize both oral health and sustainability. As the Personal Virtual Assistant/Executive Assistant to the CEO, you will play a pivotal role in supporting the CEO in various administrative, organizational, and executive tasks. This position requires exceptional organizational skills, discretion, and the ability to work efficiently in a fast-paced virtual environment.

Key Responsibilities  Calendar Management:

Proactively manage the CEO's calendar, scheduling meetings, appointments, and travel arrangements efficiently, considering time zones and priorities.  Email and Correspondence:

Monitor and manage the CEO's email inbox, drafting responses, prioritizing messages, and ensuring timely follow-up on action items.  Document Management:

Organize and maintain digital files, documents, and records, ensuring easy access and confidentiality of sensitive information.  Communication Liaison:

Serve as the primary point of contact between the CEO and internal/external stakeholders, including clients, partners, and team members, managing inquiries and requests effectively.  Meeting Support:

Attend meetings, take minutes, and follow up on action items, ensuring that key decisions and discussions are documented and communicated effectively.  Research and Analysis:

Conduct research and gather information on various topics as requested by the CEO, providing insights and recommendations to support decision-making processes.  Liaison for CEO and VP:

Act as a central point of contact between the CEO, VP, and internal/external stakeholders, managing schedules, filing documents and communicating relevant information with internal and external marketing, sales and operations teams

SKILLS:  Excellent at MS office Suite (Outlook, Excel, Powerpoint, Word)  MS Teams experience a plus  Task Management Software experience  Project Management experience  Excellent written and verbal communication skills.  Proficiency in graphic editing software (e.g., Photoshop, Canva) is a plus.  Proficiency in social media platforms and content management systems.  Experience with Shopify or other e-commerce platforms is highly desirable.
