The Opportunity

The Payroll Manager will be responsible for running the company's payroll functions end to end, ensuring precise and timely processing of US payroll and oversight of global payroll. This role encompasses a wide range of responsibilities, including managing payroll accruals, PTO accruals, and payroll reconciliation, as well as overseeing global payroll processes for Picarro subsidiaries, supporting stock administration tasks, managing T&E administration via Concur as well as Corporate Credit Card program, and owning and driving all year-end filings and compliance. This position is a hands-on role and the success factor involved will closely collaborate with the HR, finance, and legal departments to maintain payroll compliance and efficiency.

Key Responsibilities

  • Payroll Processing and Reconciliation: Process bi-weekly payroll cycle, ensuring all payroll transactions are processed efficiently in ADP including new hires, terminations, and changes to pay rates. Conduct thorough payroll reconciliations to verify the accuracy of payroll entries and resolve any discrepancies. It also includes submissions for FSA, HSA, and 401K deductions to third parties.
  • Global Payroll Oversight: Coordinate payroll operations for Picarro subsidiaries worldwide, ensuring adherence to local regulations and seamless integration with corporate policies. Approve monthly payroll for all the subsidiaries.
  • Journal Entries: Book the payroll related journal entries in NetSuite including payroll accruals and PTO accruals, ensuring accurate reflection in financial statements.
  • Stock Administration Support: Handle the administration of the company's stock option plans, including compliance with legal requirements and coordination with finance and HR teams.
  • Concur Expense Management: Administer the Concur system for expense reporting, ensuring compliance with the company policies and facilitating efficient expense processing.
  • Year-End Filings: Manage the preparation and submission of year-end payroll filings, including but not limited to W-2s, 1099s, and related tax documents.
  • Compliance and Reporting: Maintain up-to-date knowledge of payroll regulations and best practices, ensuring Picarro's payroll operations comply with federal, state, and local laws. It also includes registering in new states, supporting entity compliance and tracking the employee relocations.
  • Cross-Functional Collaboration: Work closely with various departments to ensure a cohesive approach to payroll and benefits administration, contributing to the development and implementation of payroll policies and procedures.
  • Project Support: Undertake ad hoc projects as directed by the Corporate Controller in improving processes and building scalability.

Requirements

  • Bachelor's degree in Accounting, Business Administration, Human Resources, or related field.
  • Certified Payroll Professional (CPP) designation is highly desirable.
  • A minimum of 5 years of experience in payroll management (ADP experience is a must), including expertise in managing global payroll, payroll reconciliation, and supporting financial reporting.
  • Proficiency in NetSuite and experience managing Concur expense systems.
  • Strong understanding of payroll and employment laws, tax requirements, and international payroll practices.
  • Excellent analytical, problem-solving, and organizational skills.
  • Strong communication skills, with the ability to effectively collaborate with team members across departments.

Salary & Benefits

The base salary range for this full time position is $125,000 - $155,000. Your base salary and title will be determined based on the location, experience, qualification, skills, and knowledge, level, and pay of other employees in similar positions.
