Job Summary
Support Real Estate Director to administer Juniper’s global property portfolio with emphasis on serviced office solutions. Manage the pipeline of lease dates, financial analysis and scenario modelling whilst building productive relationships with stakeholders. Co-ordinates rent payments and enquiries alongside global Lease Administrators. Work with external partners and internal peers. Support wider team delivering WX strategies and financial compliance. Contribute to the effective delivery of company objectives, policies and governance through Juniper’s office portfolio.
Key Responsibilities
- Plan, manage, and implement real estate activity for worldwide serviced office portfolio. Responsibility spans life of property including development of business cases, site selection and due diligence, funding and approval process, contract execution, operation and disposition.
- Lead 3 rd parties to manage pipeline and deliver solutions using WX lease database and critical dates tracking. Set clear direction, long and short-term goals, task delegation, performance reporting.
- Management of lease administration process for serviced offices and other sites including new vendor set-up, rent payment and landlord communications. Ensure accuracy of portfolio data and align with 3 rd party data sets.
- Assist other Juniper departments e.g. EHSS, Accounts (AP, SR, FA), IT, Legal and external Auditors with requirements and mediate between Landlords & those teams. Understand connection between real estate leases and entity registration.
- Ensure regular, strong communication to management team
- Own ARO programme and co-ordinate submission to Fixed Accounting teams. Ensure accurate, timely and communicated. Track monthly triggers.
- Manage budget for rent payments and variances, accruals and rent reconciliations with landlords. Participate in monthly, quarterly and year-end financial close periods
- Mange registration and payment of business rates. Ensure Juniper is up to date with payments with zero enforcement escalations.
- Build industry knowledge relevant to role and ensure up to date with trends and thinking. For example use of day access passes for serviced offices, “space on demand”, aggregation platforms
- Develop and run global serviced office booking programme

- Ability to develop end to end strategies to manage office leases, then deliver against multiple priorities in a dynamic, changing environment. Strong analytical skills
- Ability to develop and maintain positive relationships with multiple internal and external resources including third party real estate brokers, in-house cross functional teams, and business stakeholders. Excellent interpersonal skills
- Excellent decision making, problem solving, and problem resolution/negotiation skills. Show confidence in that decision making whilst listening to alternative options. Lead teams in agreed direction.
- Proven budget management – confidence of detail behind numbers, reforecasting after change, understand capital vs opex and impact of actions on each
- Able to read and comprehend service contracts, hold vendors to account to deliver obligations
- Results oriented. Comfortable with a management by objectives style of management. Self-motivated and directed. Self-motivated
- Positive attitude to learning and development of expertise
- Excellent communicator both oral and written
Education & Experience
- 3-5 years relevant Finance or Corporate Real Estate experience managing international, multi-site (serviced) office portfolio.
- BA / BSc or equivalent qualified. Willing to consider those candidates who can demonstrate equivalent learning through hands-on experience and achievement.
- Track record of successful management of 3 rd party vendors / professionals by partnering not micro-managing. Setting vision and expectations to drive partners to successful outcomes. Built trust within long term, positive relationship
- A team player comfortable working with a diversified role under the umbrella of a Real Estate and Workplaces Services organization in a self-directed yet centrally managed department structure. Right attitude and outlook are important.
- Excellent English communication skills, both written and oral.
- Experience working across multiple time zones

- Occasional travel required for team events
- Familiarity with software for managing lease administration functions
- Member of CoreNet, IFMA, IWFM etc an advantage
