Job description
Join us as a Documentation Engineer to store, manage, and track records and documents related to the project work performed by Alfa Laval. This includes ensuring each document submittal or transmittal includes an accurate and traceable identifier, document revision integrity is maintained, documents are distributed to the appropriate internal and external stakeholders, and documents are stored properly.
Key Tasks and responsibilities:
- Works directly with the project manager to ensure document control is maintained during the project.
- Works with customers, consultants, vendors, contractors, owners, and internal stakeholders to issue and transmit requested documents.
- Ensures project documents are stored correctly in the document management system.
- Develop procedures for document processing activities.
- Ensures document processing procedures are being followed by the project team.
- Continuously evaluates the document processing procedures for improvements and works with the Project Management Manager to revise and implement document processing procedure changes.
- Develops and maintains project distribution matrix.
- Ensures document tracking is updated and communicated, that due dates are established (forecast/actual), and responsible individuals are identified and aware of document status.
- Validate document integrity before distribution.
- Proactively identifies and works collaboratively to resolve document discrepancies.
- Works in parallel with engineering and procurement to ensure project schedule is maintained while following document control processes.
- Ensures document management processes meet legal requirements.
- Converts hard copy files to electronic format as needed.
- Additional duties and tasks assigned by the Project Management Manager.
- There is no expected travel for this position.
What you can be
Experience & Education:
- Diploma or equivalent. Preferred: associate or bachelor s degree in project management, construction management, business administration, library science or related field.
- Minimum 3 years experience in Document Control/Administration in project and/or construction management of industrial systems and plants, or related field.
Knowledge & Skills:

- Knowledge of document and records management practices
- Comfortable developing and improving procedures and training others in document management practices
- Ability to interpret technical document package, version, and revision notation
