Job description

To perform regular accounting work as per applicable laws, International Generally Accepted Accounting Principles (GAAP), MSF India Branch Office financial guidelines maintaining compatibility for books of account for closure for MSF International and for Local compliances.

MAIN FUNCTIONS AND RESPONSIBILITIES

Recording/Book keeping

Data entry / import of transactions into Tally/ accounting software in accordance with MSF Chart of Account Codes, International GAAP and applicable laws.

Validate and verify account code, grouping, cost centre and sub cost centre for ledgers in account payable to ensure correct reporting

Check invoices, payroll, statutory payment requests submitted by departments and advice corrections to comply with authorization table/ statutory compliances as and when directed.

Ensure appropriate authorization according to Authorization Table before making the payment.

Coordinate and resolve issues with Banks. Prepare regular bank reconciliations of multiple bank accounts. Monthly scrutiny of accounting ledgers.

Communicate and report any financial irregularities to SF/HOD as may be required.

Cash flow management

Timely requests to HeadQuarter for invoice payments / fund transfers.

Monitoring of entries in the cash & bank books Assess need and purchase of foreign currency

Ensure timely payments of all Vendors, Staff Reimbursement, Payroll, Statutory, Recurring, any other Critical in line limits specified under applicable laws

Prepare Intersectional debit notes/ Re-invoicing and coordinate with HQ for payment

Compliances (Local statutory) Prepare monthly TDS and GST return data. Checking TDS certificates (Form16A/16) and thence dispatch.

Assist in Internal Audit, Statutory Audit, FCRA Audit, International Audit, HQ Control Audit or any other as per different laws.

Ensure efficient system of filing, archiving and retrieval as per statutory requirement.

Keep abreast of recent changes in applicable laws.

Assist & provide data for Multiple reporting s include update Cash and Bank balance, Fundraising Plan vs Actuals, Monthly forecast, Best estimates, Annual budgets & M Package in SAP package on a monthly basis to International office.

Assist in collaborating data from Departments for PBC Year End reporting to International Office.

Assist in preparation and submission of Consolidated Financial and non-financial data including Balance sheet and Profit and Loss of multiple entities of India Branch Office in SAP to International Office for International audit.

Assist in Financial OCA and MSF Movement multiple reporting (RSA, monthly, Year-end, etc.)

General Finance Functions:

Maintaining accounting documentation and keeping the Finance office organized as required

Perform month and year end closing procedures for separate year closing for international and local reporting

To act as back up of other finance team members when specifically appointed.

Any other task as may be assigned from time to time.

KEY DIMENSIONS: Financial Dimensions: Validating authenticity of transactions. Managing approx. one-lac transactions annually. Other Dimensions:

Day to day monitoring of intricacy of compliances of multiple statutes including Companies Act, Income Tax Act, GST, FEMA, FCRA and other related acts.

Review and analysis of budget of all Cost Centres / Sub cost centres.

Handling multiple bank accounts.

Working as a team of approx. four finance personnel.

Assist in Co-ordination of secretarial activities.

KEY PERFORMANCE INDICATORS: Timely & accurately recording of transactions.

Ensure Batch reports to Fundraising at frequencies laid down from time to time.

Daily / Monthly / Annual reporting.

Assist in Quarterly TDS Return filing for two legal entities.

Payment of legal and other commitments Before due date as per law/contract

Intersectional debit notes/ Re-invoicing Quarterly/ need based

TDS calculation for each payments Accurate and within statutory timelines

Prepare monthly data for TDS return On or before 15th of the following month

Preparation of Budgetary Control Reports (BCRs) - Before deadline of 25th of the following month

Proper bookkeeping, filling of financial records/ documents

Other Indicative Requirements

Educational Qualifications and Functional / Technical Skills

Bachelor s degree in Administration or Finance, preferably B.Com

Minimum 1 year or more in experience of finance, accounting/bookkeeping.

Other requirements (Behavioral, Language, Certifications etc.) Knowledge of Indian regulatory compliances and basic accounting. Hands on experience in Tally accounting software.

MS Office especially MS Word and advanced MS Excel functions.

Enthusiasm and energy.

Handling sensitive/private administrative matters in a confidential manner.

Flexibility in taking up tasks outside of regular job responsibilities as assigned.

Fluency in English language
