Ensuring  budget notification is respected considering lab level objective set by the senior management by

  • Prepare department wise and project wise budget – forecast
  • monitoring the new projects/activities coming under the budget and raise alarm if its outside budget
  • monitoring ongoing projects and budget consumed  to watch the overall budget consumption. Raise alarm where necessary

Monitoring Capacity and  actual utilization

Monthly monitoring of lab level capacity, planned utilization and actual utilization achieved

Keeping an up-to-date repository of projects underway and lead by India lab

Ensure proactive actions to ensure the lead by lab on projects and program

Project list of all the current and planned project with project managers assignment

Work closely with project/Program managers to add more project to project lead by India lab

Dashboard and Reporting

  • Prepare & release reports on time for Quarterly Business reviews, Semesteral department performance review as well as any on the go requirement
  • Sharing Department’s status w.r.t Clarity and Budget Compliance
  • Following up on headcount & hiring to ensure its aligned with local and global strategy. Raise alarms where needed.

All the dashboards and reports are readily available

Ensuring Clarity (timesheet management toom) is completed timely and related lab level objectives are achieved by

  • ensure awareness on Clarity and related topics to all staff
  • ensure timely reminders and important timelines are shared with all staff
  • Monthly  completion status shared with managers
  • Be in synch with central PMO for any information related to the lab, reverting on gaps
  • Raising alarms wherever employees have unjustified non project activities

Completion of Clarity and efforts on projects are respected as per lab objectives

Ensuring local processes and practices are implemented by

  • To ensure implementation and follow up for  processes
  • Local Operational KPI calculation
  • Project Master is up to date and available
  • Other processes as applicable

Processes are implemented

Ensure various lab level meetings and forums are planned and animated in timely manner with planned agenda.

  • Weekly Management meeting
  • Business review
  • Strategic board meeting

Meeting invites are shared timely with agenda prepared

Support in various Managerial objectives follow up like

  • Follow up and ensure implemtnation of OKR framework in the lab
  • Domain retrospective at lab level for all key identified projects

Timely follow up on OKRs and Domain retrospective to ensure their implementation.

Digitalization of processes : All the lab operation processes are digitalised using defined  tool/portal

Processes are digitalised in portal

To ensure awareness and implementation of  Quality management  by

  • Preparing the Internal audit roadmap for the year and planning synch meeting with all auditors
  • facilitation to teams and support in implementation
  • Ensure Audits are happening as per the roadmap and reports ar available to the auditee
  • Support Extended process auditors to ensure the audits are conducting timely

Internal Process audit roadmap preparation and publish

Year end lab level audit results are prepared and published.

Working closely with Communication and administration team to ensure a smooth functioning of the lab

Lab operations support the lab day to day needs in a smooth and professional manner

Represent lab in Central PMO forum as well as be the point of contact for OIC India PMOs for Lab project matters

Knowledge and experience of Microsoft packages, including Project, Powerpoint, Word and Excel

Experience of programme co-ordination/administration

Experience of managing small projects, or exposure to the end to end project lifecycle, or managing substantial parts of the project lifecycle

Experience of working within a structured project management framework
