JOB OVERVIEW:

We are seeking a skilled Administrative Assistant to join our dynamic team at Setoo Solutions PVT LTD. an innovative IT company. The ideal candidate will play a crucial role in ensuring the smooth and efficient functioning of our administrative processes. RESPONSIBILITIES:

GENERAL ADMINISTRATION:

Manage and coordinate daily administrative tasks to ensure the office operates smoothly.

Answer and direct phone calls emails and other communications.

Greet and assist visitors to the office.

Maintain a clean and organized office space.

DOCUMENT MANAGEMENT:

Create and maintain organized filing systems both physical and digital.

Manage and distribute incoming and outgoing mail.

Prepare and edit documents reports and presentations as needed.

COMMUNICATION COORDINATION

Facilitate communication between various departments within the company.

Coordinate and distribute internal announcements.

Assist in drafting and proofreading internal and external communications.

SUPPLY MANAGEMENT PROCUREMENT AND ORDER PROCESSING:

Monitor and replenish office supplies as needed.

Coordinate with vendors and suppliers for office equipment and services.

Assist in procurement processes.

Manage order processing efficiently.

OFFICE MANAGEMENT AND PEOPLE MANAGEMENT:

Manage officerelated tasks including WiFi grocery supplies and basic maintenance.

Maintain a proper inventory of laptops and other office equipment.

Utilize good people management skills to foster a positive and collaborative work environment.

IT SUPPORT:

Provide basic IT support such as troubleshooting common computer issues.

Liaise with the IT department for more complex technical problems.

TRAVEL ARRANGEMENTS:

Make travel arrangements for executives and other team members as required.

Prepare travel itineraries and ensure all necessary arrangements are in place.

CALENDAR MANAGEMENT:

Schedule and coordinate appointments meetings and events.

Maintain and update executive calendars.

Assist in planning and organizing company events.
