Job Title: Executive Assistant to Director

About the job:

As an Executive Assistant to the Director, you will build and maintain strong relationships with teams and external agencies. You will act as a liaison between the Director and others. You will also be responsible for contributing to the growth of the company.

Key Responsibilities:

1. Calendar Management and Coordination

2. Communication and Correspondence

3. Scheduling meetings and writing minutes of the meeting (MoM)

4. Coordinating Travel Arrangements

5. Information Management: Maintain confidential files, records, and databases. Retrieve and organize relevant information as needed. Ensure the executive is well-prepared with necessary documents and materials for meetings or presentations.

6. Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including clients, partners, and colleagues. Act as a liaison between the executive and various parties, handling inquiries and requests professionally.

7. Expense Management: Process and track expenses, ensuring accurate and timely reimbursement for the executive. Maintain expense records and prepare expense reports as required.

8. Special Projects: Assist with ad-hoc projects, research, and presentations. Contribute to process improvement initiatives and other administrative tasks as assigned.

Job Requirements:

* 2-5 years of proven experience as a Director's Assistant or an Executive Assistant or related field.

* Excellent organizational and time management skills, with the ability to prioritize tasks effectively.

* Strong written and verbal communication skills.

* Proficiency in using office productivity tools (e.g., Microsoft Office Suite, Google Workspace).

* Attention to detail and a high level of accuracy.

* Discretion and confidentiality when handling company information.

* Ability to work independently and collaboratively in a fast-paced environment.

* Ability to multitask and prioritize effectively.
